Operations Administrative Manager
Job Description The NYC Department of Youth and Community Development funds programs in all five boroughs to help alleviate poverty and support community growth. They are looking for a Senior Project Manager to join their Youth Services Operations Team, which provides support for budget analysis, policy development, contract compliance, data analysis, and communication with program providers. The Child and Adult Care Food Program - CACFP is a nutrition education and meal program helping DYCD funded Youth Services programs serve nutritious and safely prepared meals and snacks to children and adults in day care settings. The Administrative Manager requires receipt of all the deliverables being submitted by the field operations staff for data entry, on the shared drive and in PTS. The Administrative Manager serves as the liaison between CACFP and the contracted vendor on all meal-related matters and concerns. This role would also conduct all correspondence regarding community center issues (meal changes, closures) 1.Manage the daily operations and communications between the vendor, field team and nonprofit centers. 2.Generate reports, resource materials, guides and data dashboards that communicate information efficiently and clearly. 3.Responsible for administrative functions such as conducting weekly check-ins with the Field Operations Team to acquire meal service deliverables, 4.Review and approve all meal service reports in PTS and on the shared drive and complete the weekly update reports for the Deputy Director review and approval. 5.Maintain databases of the Community Centers and Vendor reports. Conduct Weekly reviews of posted meal orders to ensure that sites are receiving an adequate number of meals. 6.Coordinate the process of obtaining and keeping records of Participant Data Forms and Income Eligibility Forms 7.Serve as liaison with the current Vendor to address the needs and concerns of participating locations. 8.Serve as a liaison between, Contracted Vendors, Resident Association Presidents, Community Center Directors and staff, Sponsoring Organizations, the NYC Housing Authority and DYCD and attend meetings and conduct site assessments when required. 9.Conduct vendor site visits and follow up on reported problems and execution of any corrective action plans. 10.Collects and logs the Meal Service Records for Manhattan, The Bronx, and Staten Island. 11.Participates in providing training and TA to CACFP staff and CBOs staff as needed. 12.Onboarding CBOs and staff to move from utilizing paper-based reports and records to digital platform and OneDrive records. Qualifications 1. A baccalaureate degree from an accredited college and two years of experience in community work or community centered activities in an area related to the duties described above; or 2. High school graduation or equivalent and six years of experience in community work or community centered activities in an area related to the duties as described above; or 3. Education and/or experience which is equivalent to "1" or "2" above. However, all candidates must have at least one year of experience as described in "1" above.
