Operations Assistant

 

Part of the Trotter & Morton Group of Companies, Trotter & Morton Facility Services provides 24/7 preventive and predictive mechanical system maintenance and repair to condominiums, commercial, and institutional buildings.

We are currently looking for a Operations Assistant to join our team!

 

What’s in it for you

Roles and Responsibilities

Keep manager apprised of work progress, customer relations, field personnel relations, material administration, and other matters affecting service operations. Assist with invoice dispute resolution through by investigating concerns and ensuring internal processes are adhered to. Act as the primary contact for managing fleet of vehicles, scheduling maintenance, GPS Provider and assist manager in procurement and disposal of fleet as needed. Provide dispatching support on an as needed basis and work with Service Coordinator to ensure processes are maintained. Support operations supervisors in maintaining proper workflow which may include but is not limited to vehicle inspections, scheduling, and maintaining tool crib. Utilize knowledge of mechanical systems and geographical logistics to research, locate, purchase, and coordinate use of equipment, materials, and tools to best meet needs of field personnel. Assist in purchase of special tools. Track and record availability of equipment, tool locker, usage, and location of special tools. Assign and maintain inventory of all tools by vehicle or service representative. Build and maintain rapport and positive working relationships with field and office personnel to resolve problems, exploit opportunities and maximize profits. Process all data according to Company and Linc Service® procedures. Build rapport and positive working relationships with customers, vendors, and other outside contacts. Assist Service Manager with recruiting and on boarding of operation staff with Human Resources. Perform auditing of assigned paperwork to ensure accurate and timely processing. Provide support for any special projects as assigned by your manager. Perform other responsibilities as required.

 

Required Skills

Solid organizational skills Ability to multitask Excellent ability to collaborate within cross-functional teams Strong attention to detail Excellent verbal and written communication skills Ability to problem solve Strong computer competency, especially in the Microsoft Office Suite Heating, Ventilation and Air Conditioning (HVAC) knowledge would be an asset, but not required

 

Required Experience

High School Diploma or equivalent Completion of a college or other program for administrative assistants or business administration would be an asset Minimum 2 years' experience in an administrative role
