The Operations Assistant will play a key role in supporting day-to-day operations, similar to a project manager, by overseeing project timelines, coordinating schedules, and managing key customer interactions. This position requires a high level of proficiency in Excel, strong organizational skills, and an outgoing personality to effectively engage with customers and collaborate with team members.
Responsibilities:
Coordinate and manage project timelines, tasks, and deliverables to ensure deadlines are met and projects run smoothly.
Utilize advanced Excel skills to compile, analyze, and present data for project tracking and reporting.
Act as a point of contact between internal departments, clients, and external vendors to streamline project communication.
Schedule and manage multiple calendars, arranging meetings, coordinating with stakeholders, and ensuring availability of necessary resources.
Provide administrative support to senior team members by preparing project documentation, tracking key project milestones, and maintaining accurate records.
Ensure timely and professional communication with clients, maintaining positive relationships and updating them on project status.
Assist in preparing progress reports, creating project presentations, and maintaining organized project files.
Working hours: 8:30 AM - 5:00 PM
Skills:
Prior experience in an operations or project management role, particularly in a customer-facing or administrative support capacity.
Familiarity with project management software or tools, such as Trello, Asana, or Microsoft Project.
Ability to adapt to shifting priorities and handle time-sensitive tasks with efficiency.
Strong problem-solving skills and a proactive approach to managing unexpected challenges.
