Operations Coordinator, Darden School of Business, Library (Wage)

The University of Virginia Darden School of Business seeks a part-time (20-25 hours per week) Operations Coordinator to join the Darden Camp Library staff. The Operations Coordinator will serve as the point person for Library procurement. This position also assists with acquisitions, managing vendor accounts and providing operations support to the library.

Responsibilities:

Operations

Create and improve processes and develop documentation with members of the library team.Assist with tracking usage statistics of library resources.Order supplies necessary to keep the library functioning.Engage in Library strategic planning with team, responsive to library trends and Darden needs.

Finance

Manage all Library procurement including processing reimbursements, expense reports, and invoices.Purchase and track department expenses, adhering to policies, completing annual training.Process all invoices related to databases, serials and all other Library materials, services (such as copying and binding) and purchases related to Library supplies for students and staff.Work with accounting coordinator for purchase order creation, adherence to policies, and assurance vendor invoices are paid in a timely manner.Coordinate cost-share payments with vested parties (McIntire, Batten, Mayo Center for Asset Management).Initiate process for new vendors to register in PaymentWorks, ensure completion, serve as liaison with vendors and UVA procurement if delays or questions.Maintain records per UVA finance standards.

Acquisitions

Track current databases including vendors, contracts, coverage dates, costs, increases, renewals, terms & conditions, payment terms, and dates due.Track purchases, payments, time of receipt from ordering to receiving.Assist the Director and Serials and Database Manager with terms and conditions and/or renewal agreements management.Complete acquisitions process of monograph materials in all formats for Library collections and reserves.Manage vendor account with the Brodart/McNaughton leasing program for the Turner Collection and reserves. Process selections, maintain inventory records, review renewal, and process invoices.Order from primary vendors as contracted with University Library and procurement.Assist with creation and data entry into an electronic resource management tool (for example BLUEcloud eRM).Assist with physical collection by processing materials when needed.

Education and Professional Experience:

High School diploma and one year of experience required. Bachelor’s degree and two or more years work experience in an academic library preferred.Ability to work independently and to prioritize and manage multiple tasks in a fast-paced and process-oriented environment.Ability to work effectively and collaboratively to provide service in a diverse work environment and community.High degree of dependability and flexibility.Excellent customer service skills, oral and written communication skills.Self-starter, willingness to take initiative.Strong mathematical ability.Working knowledge and experience with spreadsheet applications.Experience with one or more of the following preferred: MS 365, WorkDay Finance, SirsiDynix/Workflows, library catalog systems (ILS).
