Operations Coordinator
The Brennan Center for Justice at NYU School of Law is a nonpartisan law and policy institute that seeks to improve the systems of democracy and justice in the United States. We work to hold our political institutions and laws accountable to the American ideals of democracy and equal justice for all. Among our core priorities, we fight to protect voting rights, end mass incarceration, strengthen checks and balances, and preserve constitutional protection in the fight against terrorism. And we fight for them — in Congress and the states, the courts, and in the court of public opinion.      Position Overview:   We are seeking an energetic, motivated, and well-organized Operations Coordinator to join our Finance & Operations Team. The Brennan Center maintains a busy office of approximately 170 staff and 40 interns. The Operations Coordinator plays a vital role in office operations. In addition to receptionist responsibilities, working the front desk (answering phones, etc.), the Operations Coordinator will collaborate with internal stakeholders and external vendors and service providers to ensure the office runs smoothly.   The Operations Coordinator is a Projects and Finance & Operations team, managed by the Manager of Administration and Special Projects, and works closely with the Office Manager.   Note: This position is in-office 5 days/week and based at our headquarters in New York City.    Responsibilities:   + Answers phones and greets guests, interacting with Center’s allies, donors, and interested members of the public.   + Supports projects managed by the Manager of Administration and the Office Manager.  + Manages supplies, inventory, purchasing, and distribution.   + Assists in the upkeep of the office, including the coordination of repairs and special maintenance items, (i.e., HVAC maintenance, cleaning staff, other vendors) when necessary.   + Liaises with building management and security to address office needs.   + Supports training and onboarding processes.   + Trains and oversees interns and temporary workers in performing office administration and receptionist responsibilities.  + Supports office morale events and activities (i.e., holiday parties, summer picnic, etc.)  Qualifications:   + A bachelor’s degree, or equivalent mix of education and pertinent experience.   + 2-3 years of experience working in an office environment.   + Excellent phone etiquette.  + Excellent interpersonal and communication skills.   + Keen attention to detail and an ability to multitask.  + An openness to evolving responsibilities.   + Proficiency in Microsoft 365 and Outlook and familiarity with business machines and technology.   + Ability and willingness to lift heavy boxes (up to 50 lbs) and office equipment, as needed.  + An interest in the work of the Brennan Center.  + Sense of humor.  The Brennan Center is committed to advancing Diversity, Equity, and Inclusion in the workplace. We determine our salary ranges based on market competitiveness and internal equity for each job. The salary offered to a selected candidate will be contingent upon the candidate’s experience, education, and qualifications, along with internal equity considerations.
