What You Will Do:
We are currently searching for an Operations Coordinator to manage with the Division Director's email and calendar, draft documents, and emails, organize files, and support the staff in the Office of the Director.  This is a full-time, on-site opportunity in Rockville, MD.

Manage the Director’s calendar and inform them of any potential problem areas requiring Director’s attention. This includes proactively adjusting meeting conflicts managing his time, scheduling conference rooms, coordinating logistical arrangements, including room and audiovisual reservations, creating Teams or WebEx events, and similar arrangements. Independently identify potential conflicts and solutions in a timely manner.Manage the Director’s email, triage correspondences to the Associate Directors as needed. This includes writing emails and coordinating response on behalf of the Director.Draft documents and emails for the Director. This includes understanding and identifying appropriate level details and who and when to share information to ensure activities within the office occur in a smooth and efficient manner.Ensure all necessary documentation is prepared and includes all the relevant signatures, approvals, and clearances. Organizes files regularly needed for the Director, shares/uploads files as needed, and familiar with file locations to provide real-time information in response to the Director’s inquires.Perform administrative and coordination tasks in support of multiple senior staff members and others in the Office of the Director. Works independently with limited supervision to successfully plan, organize, and implement support activities.Serve as liaison between Director and divisional staff; communicate policies, protocols, regulations, guidelines, and general information and with other administrative groups to facilitate meeting organizational goals for a variety of high-level programs.Assist with maintenance of SharePoint sites and shared electronic document/data libraries, including development and monitoring of content and ensuring that documents and/or data posted to the sites are accurate and filed appropriately.


What You Will Need:

Bachelor’s Degree or additional experience in lieu of degree.At least FIVE (5) years of administrative support experience.


What Would Be Nice To Have:

Performs project management activities.Experience managing website content desired.Generate meeting minutes/ summary reports.Executive level support such as meeting coordination, travel planning, calendaring, or scheduling.Familiar with MS Office, including SharePoint and Teams.Knowledgeable in other online video conferencing tools such as Zoom or WebEx.

The annual salary range for this position is $75,800.00-$113,600.00. Compensation decisions depend on a wide range of factors, including but not limited to skill sets, experience and training, security clearances, licensure and certifications, and other business and organizational needs.
