SUMMARY
Under general supervision of the Director of Operations, San Diego, this position is responsible for providing general operational support for the Employee Health & Benefits (EH&B) Division including managing various carrier and vendor processes, department events, resources, and functions. This position will work with a variety of colleagues as well as independently on assignments and projects.
ESSENTIAL DUTIES & RESPONSIBILITIES
Provide EH&B Division carrier and vendor processes support including but not limited to Update and maintain Approved Bid ListManage current carrier and vendor contacts, products, information etc.Manage carrier AM Best Rating updatesManage carrier and vendor communicationsManage EH&B communication mailboxesManage carrier and vendor broker portalsCarrier and vendor issue resolution supportAssist in researching carriers and vendors for vetting processProvide general support for the San Diego EH&B department including but not limited toManage gifts, raffle prizes, food, flower, business cards, etc. ordersManage dept. events, meetings and calendarsCoordinate workstation movesAct as a resource for new associates providing direction as necessaryProvide general support for other EH&B Division functions including but not limited toBackup for Operations support team Support internal training opportunity communicationsUpdate forms and templates as directedSupport client communications tools and resourcesParticipate in special projects and other duties as identified and assigned Proactively identify processes and operational areas to improve efficienciesAct as a liaison between teams, divisions and offices to promote strong communication and problem solving solutionsCreate an environment oriented to trust, open communication, and cohesive team effort fostering positive moraleEDUCATION AND/OR EXPERIENCE
Successful candidate will be a service oriented individual with high personal standards and a hands-on work style. This position requires an individual who is comfortable working at a varying pace, managing multiple tasks and deadlines simultaneously, adjusting priorities often, and managing frequent interruptions.
This position interacts with and provides service to a large group of internal colleagues and has high levels of contact with external vendors. The Operations Coordinator must be positive and approachable, and work effectively with diverse personalities. In addition, the following are required:
• Successful work history to include a minimum of 1-3 years of experience in a professional office setting directly related project management with progressively greater responsibility for making administrative and procedural decisions and judgments.
• Bachelor degree required, preferably in Business Management or similar field of study.
• Strong verbal and written communication skills with ability to present results neatly and with precision in a concise, logical and professional manner.
• Advanced knowledge of personal computers and Microsoft Office applications (i.e., Word, Excel and PowerPoint) and database administration, with ability to operate standard office equipment required.
• Demonstrated ability to organize resources, establish priorities, resolve problems, plan appropriately and make sound decisions within job scope especially with workload changes and under deadlines.
• Dependable, self-driven and possess intuitive abilities to follow through on assignments and work productively with others in a team environment.
• Maintain a valid Driver’s License & have reliable transportation.
WORK ENVIRONMENT & PHYSICAL DEMANDS
• Ability to use computer keyboard and sit in a stationary position for extended periods.
• Work is performed in a typical interior/office work environment, with flexible work from home program available to all colleagues.
• Occasional overtime may be required.
• Periodic travel may be required. Travel may consist of 1–2 overnight trips per quarter as well as day trips visiting other office sites.
The applicable base salary range for this role is $33,300 to $62,000.
The base pay offered will be determined on factors such as experience, skills, training, location, certifications, education, and any applicable minimum wage requirements. Decisions will be determined on a case-by-case basis. In addition to the base salary, this position may be eligible for performance-based incentives.
