Operations Coordinator (IDM)

Role Purpose

As an Operations Coordinator, you will play a vital role in supporting the operational activities of the Insights and Data Monetisation Tribe within ShopriteX. This entry-level position offers an excellent opportunity to gain hands-on experience in operations management while contributing to the efficiency and success of our business. You will work closely with the Head of IDM and the Operations Lead to assist in coordinating various tasks, maintaining documentation, and optimising processes.

Role Description

Administrative Support

Provide administrative assistance to the IDM leadership team, including scheduling Agile ceremony sessions, meetings, events, and handling correspondence.Assist with preparing reports, presentations, and other documents as needed.Plan and coordinate the onboarding and exit process of new starters, including – but not limited to – managing the distribution and recovery of equipment.

Process and Project Coordination

Assist in coordinating operational activities across different teams, ensuring smooth execution of tasks and adherence to timelines.Keep projects on track by ensuring alignment, effective communication, and identification and reporting of potential blockers and risks.

Data and Document Management

Assist in maintaining accurate records of operational activities, including updating email databases, tracking support tasks on Jira, and organising documentation.Ensure data integrity and confidentiality in accordance with the IDM tribe's standard operating procedures.Support the creation, organisation, and maintenance of operational documentation, including procedures, manuals, and SOPs (Standard Operating Procedures).Ensure that documentation is up-to-date and easily accessible to relevant stakeholders.

Communication

Serve as a point of contact for internal and external stakeholders regarding operational inquiries and requests.Communicate information effectively and promptly to ensure timely resolution of issues.Coordinate the production and distribution of any messaging and communication requirements between responsible parties within the team and their stakeholders.Liaise with stakeholders to produce email newsletter copy, create a newsletter template, and distribute email newsletters to the designated audiences.

Quality Assurance

Assist in monitoring the quality and effectiveness of operational processes and outputs to ensure compliance with IDM's standards and governance requirements.Participate in quality control activities and contribute to continuous improvement initiatives.

Problem Solving

Identify and address operational challenges or issues as they arise.Collaborate with team members to develop solutions and implement corrective actions to prevent recurrence.Keep track of progress and ensure tasks are completed.

Training and Development

Participate in training sessions and workshops to enhance your understanding of the capabilities within the Tribe.Take initiative in learning new skills and technologies to support your professional development.Support team leads in coordinating training activities.

Qualifications and Experience

Relevant degree or diploma in operations, administration, or a related field, or equivalent work experience – (essential).Previous experience in an administrative or operational support role - (preferred).Proficiency in Microsoft Office suite (Word, Excel, PowerPoint) and other relevant software applications.Knowledge of Agile ways of working / methodologies.
