Job Description

About This Role

Joining us as the Operations and Events Coordinator, Türkiye, you will play a vital role in ensuring operational excellence and strategic alignment to maximize our team’s impact. In this role, you will provide critical operational support in managing engagements with local authorities, reporting transfers of value, overseeing external engagement operations, material review processes, budget management, vendor coordination, logistical planning, and performance metrics. Your efforts will contribute directly to driving seamless execution and collaboration across our Türkiye operations.

You will take ownership of managing Veeva and CRM operations in collaboration with Biogen’s Medical and Market Access Leadership Teams. This includes driving the implementation of Veeva CRM, associated tools, and field enablers to enhance operational efficiency.

Additionally, you will work closely with the Compliance and Partner Oversight function to localize and implement the Compliance framework in Türkiye, ensuring adherence to policies, SOPs, and data privacy standards.

What You’ll Do

Operations and Events

External Engagements OperationsWork closely with appropriate stakeholders and manage meetings with vendors to ensure smooth execution of external engagements according to plan, timeline and budgetManage cross-border engagements of International KMEs (Key Medical Experts) and coordinate the activity with the appropriate stakeholders at global, regional and local levelsOn site support for external engagement activities, including events organized at local/regional levelAbility to manage risks and propose mitigation plansEngagement pre-approval and Transfer of value reporting to local Authorities for both Biogen and Partner engagements Material management: Support and ensure that materials  slides etc) go through appropriate material review and approval process in VeevaBudget Oversight: Takes responsibility of ensuring correct budget allocation (as aligned with function leads) across the different events, monitor spent, negotiate with vendors, and ensure events are executed within the budget.Vendor relationships: Build and maintain strong relationships with vendors, venues, suppliers, and contracts; in charge of vendor management process & contract negotiation.Logistical planning: Oversee the planning and execution of events logistics including venue selection, accommodations, transportation etc. Handles PO and payment processes end to endMetrics and Evaluation: Ability to work closely with the cross-functional team to establish and maintain project management dashboards to assess performance and identify areas of improvement.

Veeva and CRM operations

Accountability for local Veeva & Field Enabler tools & processesDrive Operational Excellence in the use of Veeva & related field enablersWork with regional lead to organise & own CRM related trainings for all functions, processes & other changes.Facilitate training & on-boarding (in collaboration with other relevant functions on Veeva.Ensure compliance to Global & Regional rules & regulations

Compliance Program Implementation

Collaborate with Compliance and Partner Oversight function to localize and implement Compliance Programs, including policies, SOPs, and data privacy initiatives.Ensure compliance policies are documented, archived, and accessible.Maintain systems for archiving Corporate Compliance Program records.Ensure audit readiness support for local teams in TurkiyeSupport other compliance adhoc projects specific to the Turkish entity

Who You Are

With a background in event coordination, you have successfully managed end-to-end logistics, stakeholder engagement and vendor relationships with the pharmaceutical industry in Turkiye,  ensuring seamless execution and compliance at every step. You are a detail-oriented and results-driven professional with a proven ability to manage multiple priorities, in fast-paced environments.

Qualifications

Required Skills

Bachelor’s degree in business administration, commerce or related field, preferred. Additional qualifications are desirable3-5+ years’ experience as an Event Coordinator in Türkiye within the pharma industry, or related pharma vendor/consultancy.In-depth knowledge of Veeva (experience of similar systems considered) and external stakeholder engagement toolsStrong knowledge and experience of compliance within the Pharma industry, and specifically with local regulations in TurkiyeStrong Excel, PowerPoint & CRM skills, strong preference for experience with Power BIStrong and structured communication skills including verbal and written English skillsExceptional time management and organizational skills, with proven ability to meet deadlinesAn agile self-starter with high attention to detail who is willing to learnKnowledge of market research processes
