GENERAL DESCRIPTION
OCIP is seeking an Operations & Programming Specialist to help the Talent, Innovation and Industry Partnership team support several activities that are cross-cutting across the division and unit. This person will report directly to the Director of Industry Growth & Partnerships and manage the CUNY@Amazon community classroom on 5th Avenue that Amazon and CUNY have partnered on. The role involves leading the management of the space, including marketing its use to CUNY campuses and stakeholders, coordinating bookings, and ensuring the classroom is utilized most days. Additionally, this position organizes programming in support of TIIP division’s mission - this includes, but is not limited to; career panels, fireside chats, networking events, virtual events and career fairs.
The ideal candidate will have excellent written and verbal communication skills, strong organizational abilities, a customer service mindset, the ability to meet deadlines efficiently, and the creativity to help all stakeholders achieve their goals. This is a grant-funded position until June 30, 2026 with the possibility of extension
DUTIES AND RESPONSIBILITIES CUNY@Amazon Classroom
+ Work with CUNY System to elevate awareness of the Amazon space this includes booking and scheduling the space with the aim of having the space occupied daily, Monday – Friday.
+ Work closely with CUNY Campuses and Amazon to market and support the space by creating an ongoing campaign across all CUNY colleges and programs, making faculty and staff aware of the opportunities it provides and recruiting campus stakeholders to utilize the space. This includes performing research, creating internal directories and assets for future use, as well as facilitating presentations to promote the space.
+ Ensure all event organizers have completed necessary registrations, forms and event related documents
+ Ensure coordination between CUNY and Amazon booking systems.
+ Create guides, checklists, and other supporting documents that facilitate use of the space.
+ Ideate with key stakeholders within CUNY and Amazon to create programming for the space.
+ Collaborate with event organizers and the Amazon team to support day-of-event operations, ensuring a seamless experience for all stakeholders and attendees.
Event Coordination
+ Collaborate with division colleagues to conceptualize events that achieve key objectives and contribute to creating event copy and promotional materials
+ Set and adhere agreed upon timelines and event tasks lists
+ Create and execute event registration and feedback forms and processes
+ Prepare and oversee all day of logistics, including materials and technology
+ Research, select and liaise with vendors
+ Host and facilitate virtual events via Zoom platform, serving as moderator when needed
+ Take ownership and be solutions-oriented during event preparation and execution, addressing challenges as they arise.
Other Duties
+ Attend staff meetings and training as required.
+ Perform special projects and other duties as assigned.
Qualifications Minimum Qualifications
+ Bachelor’s Degree with two to four years of relevant experience, or associate's degree with three to five years of experience, or equivalent combination of education and experience, supporting programs in education, workforce development, or business development.
+ Strong verbal and interpersonal communication skills to work and interact effectively, collaboratively, and cooperatively with a diverse community of students, faculty, staff, and external constituents in a large organization.
+ Proficient in Microsoft Suite and common workplace platforms to create presentations, analyze data, and manage information efficiently
+ Detail-oriented and organized with the ability to manage multiple assignments and meet deadlines.
+ Experience scheduling and managing multiple projects;
+ Experience with industry partner engagement, events and project management;
+ Ability to work independently and collaboratively in a fast-paced and complex work environment;
+ Ability to problem solve quicky as issues arise;
+ Ability to manage competing priorities and multiple projects;
+ Commitment to CUNY’s mission of promoting the equitable upward economic mobility of graduates;
+ Ability to adhere to CUNY’s location and hybrid in-person/remote work policies; Ability to travel to multiple sites throughout NYC.
Preferred Qualifications
+ Experience with event and project management, partnership management
+ Demonstrated understanding or previous experience navigating the unique strengths and opportunities presented by CUNY campuses, system, and student body
+ Demonstrated team-player mentality, willing to roll up sleeves and assist with all-hands-on-deck efforts as needed
Physical Requirements
+ This is a 70/30 hybrid position, subject to change. Remote work arrangements are not a right or entitlement of employment and, as such, are discretionary and subject to operational needs unless otherwise provided by the CUNY Flexible Work Guidelines. Laptop may be provided if needed to support working remotely.
+ While performing these duties, the employee is required to perform physical activities such as, but not limited to, lifting items (up to 20 pounds), bending, reaching, sitting for prolonged periods of time.
