Job Description:

The Operation Assistant provides primary support to meetings held in office conference rooms, maintains the day-to-day appearance of conference rooms, break rooms, visitor offices.  Orders, supplies for conference rooms and break rooms, orders, and maintains office and break room supplies.  This position works as part of the operations team and reports to the Operations Manager.  This position also handles all catering orders and conference room arrangements and serves as a backup in the absence of any Client Services Assistant team members, with regards to office set up, workstation changes and other task and duties needed operationally. Must be handy enough to build ergo desks, chairs and install keyboard trays. This is an on-site position. No Hybrid or Remote Option.

Representative Key Responsibilities

Provides all setup services for conference rooms, except for those handed out by IT.Creating files and labels for desksGreet guests and direct incoming traffic, answer calls and learn operational duties.Handle all non-technology set-up services for conference rooms, with guidance from Operational Manager.Reconfigure conference rooms for various setup requirements.Maintain the day-to-day presentation and cleanliness of conference rooms.Clean and set up offices and workstations for new hires or office moves.Maintain supplies and cleanliness of break rooms/lunchrooms.Order, inventory, maintain, and restock office and break room supplies and forward unusual requests to the Operational Manager.Arrange periodic shredding services.Support for operations team with day-to-day activities (setting up desks/preparing workstations)Complete various other tasks as requested/needed.Coordinating and assisting in all related services to maintain facilities and conference services to include arrivals and departures.Assisting and executing office moves, assisting, administering, and maintaining security card systems, including auditing and reporting.Conducting daily walk-through inspections of facilities and reporting discrepancies of building inefficiencies, i.e. carpet cleaning, repairs, and safety issues.Coordinating and monitoring work service tickets with vendors and property management; coordinating and assisting with furniture issuance, planning, delivery, installation, storage and repair; planning, developing, and executing Equipment Maintenance and Preventative Maintenance Program.Maintain and Update floor plans with assistance.Review, maintain, and create invoices with assistance.Activate and deactivate security cards with assistance.Coordinate activation of cards for access to parking with assistance.

Required Education, Knowledge, and Experience

Entry-level position, facilities experience a plus but not required.

Required Skills and Abilities

Ability to work independently.Ability to communicate and interact well with others, including vendors and contractors.Willingness to work as a team member.High level of accuracy and attention to detail.Medium computer skills and ability to learn firm-specific software applications.Knowledge of Microsoft Office Suite.Willingness to work overtime, non-standard hours, and occasional weekend/holidays.

Understanding and hands-on experience with audio visual set ups (laptop/projector connectivity, videoconferencing and teleconferencing set ups, TV’s, including Plasma, LCD, or LED).

Hands-on experience with WIFI: laptop cards and hot spots would be a plus.

Excellent customer service and desk side support skills are required.

Excellent interpersonal, critical thinking and time management skills.

Physical Requirements of the Position

Ability to move containers weighing up to 50 lbs.Ability to move /arrange furnitureMust be willing to crawl under desk in order to service computers.

The Compensation range for this role is 20.22 to 27.54 USD per hour and may be eligible for an annual bonus. Actual compensation within that range will be dependent upon the individual's location, skills, experience and qualifications.
