What You'll Do
The Operations Intern will support the Operations team in coordinating and executing a variety of projects and daily tasks, including facilities management, reception, event planning, and assisting the Expense Desk Team. This role offers hands-on experience in a fast-paced environment, providing an excellent opportunity to gain valuable insights into the operational aspects of our business.
RECEPTION BACKUP
· Answer phone calls and direct them, while welcoming and guiding visitors.
· Assist with access control by granting access to the office site in coordination with the visitants' host.
· Help sort and distribute incoming and outgoing mail, packages, and documents during the receptionist's absence.
· Provide basic information and assistance to visitors during their stay in the office, ensuring they are comfortable and informed.
· Help send routine office communications, such as birthday congratulations, maintenance notices, and building updates.
· Assist in coordinating transportation, couriers, and reservations as requested by staff members.
FACILITIES BACKUP
· Coordinates the purchase of office supplies.
· Purchase office food (lunch, breakfast, etc) and manage office gatherings supporting the staff meetings.
· Books meeting rooms and offices as per request.
· Provides administrative support in meetings and events and any other operational task.
EXPENSE MANAGEMENT
· Be part of the Expense Desk team.
· Assist internal clients in compiling their invoices, registering them, and analyzing expense information.
· Review expense data to ensure compliance with finance policies and create reports for submission.
· Troubleshoot any issues related to submitted expense reports.
· Request additional information or approvals from internal clients as needed.
· Report progress and updates to the Expense Desk team.
What You'll Bring
· Currently enrolled in a university program, preferably in Business Administration, Operations Management, Industrial Engineering, or a related field.
· No prior work experience is required.
KEY COMPETENCIES
· Enthusiasm for learning and a proactive approach to problem-solving.
· Strong organizational skills and attention to detail.
· Ability to work independently as well as part of a team.
· Good communication skills, both verbal and written.
· Basic proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) is a plus, but not mandatory.
