Georgia Eye Partners is a specialty eye care practice in Metro Atlanta comprised of ophthalmologist and optometrists dedicated to providing patients with the highest quality medical and surgical eye care. Our services range from general eye care to complex surgical care for conditions such as cataracts, glaucoma, corneal disease, and refractice. We offer LASIK and other refractive surgery options as well as oculoplastic surgery and laser aethetic procedures through OPAL Aesthetics.

Position Summary

Provides administrative leadership to the practice. Ensures quality services are provided according to established policies and procedures. Responsible for working in collaboration with practice physician(s) to manage clinic templates and patient scheduling. Ensures accurate scheduling of patients and proper information is recorded. Responsible for ongoing evaluations. Partners with the Human Resources Business Partner and Practice Administrator for employee performance evaluations, hiring, transfers, promotions, and employee relations concerns.

Responsibilities

General Responsibilities

Responsible for communicating Practice initiatives, training, correspondence, etc. to direct reports on behalf of the Practice AdministratorManages the Surgery Coordinators, in-office Benefits Verification Specialists, Referral Coordinator, and Office Assistants.Identifies inefficiencies of the Surgery Coordination process and recommends solutions according to best practices.Manage employee time, attendance, and PTO requests as outlined in Policy and Procedures ManualEducate employees as appropriate regarding best practices. Train employees in scheduled software and phone etiquette to meet high standards as set by practice.Serve as a role model for team by always exhibiting professionalism and by providing a great patient experience.Evaluate employee performance and provide feedback on an on-going basis. Conduct timely annual employee performance reviews in partnership with the Practice Administrator and Human Resources.Ensure the efficiency and effectiveness of administration of all direct reports.Manage Missing Charge reportsImplement and adhere to Standard Operating Procedures, SOPs.Delegate effectively and tactfully to team members while contributing to a positive work atmosphereLiaise with Corporate Call Center to ensure patient satisfaction with call services and any updates to physician templates and/or preferences are shared with call center representatives timely.Maintain and update Doctor Day tracker as required by EyeSouth finance team for all affiliate doctors.Perform other duties as assigned: job descriptions are not intended to be construed to be an exhaustive list of all responsibilities, skills, efforts, or working conditions associated with a job.

 

Office Management

Manages all location doctor daily scheduled and clinic templatesManage parking applications and invoices for all offices requiring paid parking. Maintain current list of all “parkers” at each office location.Participate in operations meetings as scheduled.Lead daily, monthly, quarterly surgery coordinator meetingsOversee solution reach, net promotor score, appointment confirmations, and daily syncing.Triage IT support requestsManages efficiency and accuracy or scheduling appointments according to best practicesManages both internal and external patient and physician satisfaction and expectations.Monitor and ensure CoFi is utilized efficiently and correctly by surgery coordinator team for all co-managed patients.

 

Financial Operations

Oversee administrative inventory managementPurchase office supplies to support patient careEnsure patient balances and co-pays are collected at time of serviceOversees daily cash reconciliation and deposits

 

Human Resources

Monitor and adjust staffing based on weekly overtime for direct reports; approve time off requestsResponsible for onboarding of new surgery coordinators, benefits verification specialists, referral coordinators, etc.Conduct new hire 90 day and annual performance reviews for all direct reports.Responsible for disciplinary actions and termination of employees in conjunction with HREvaluate employees as appropriate based on job duties and adherence to company policies and procedures. Provide feedback on an on-going bases and conduct timely annual employee performance reviews in partnership with the Practice Administrator, Regional Director, and Human ResourcesProvide performance feedback to practice administrator for annual reviews and holiday bonuses.Maintain staff training records: audit training records to ensure all evidence of training, certifications, licenses, and credentials are current.

 

Compliance

Responsible for all aspects of OSHA, to include documentation and trainingResponsible for clinic and office safety & continued staff training Qualifications High school Diploma or equivalent required, advanced degree   Minimum of 3 years healthcare operations experience required.iJCAHPO certification required, COT preferred.Must be able to manage multiple tasks/projects simultaneously. Ability to adapt to frequent priority changes.Language skills: ability to clearly communicate thoughts and plans to clients, team members, and administration. Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedural manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees. Ability to hear and understand verbal feedback from clients.Computer skills: intermediate skills including Microsoft Office; especially Word, Excel, and PowerPoint.Reasoning Ability: ability to apply common sense to understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Exercise sound judgement in responding to inquiries; understands when to route to next level.Professionalism: possess strong work ethic and high level of professionalism. Self-motivated with strong organizational skills and superior attention to detail.
