Operations Manager
Job Title: Operations Manager (3 Month Contract)

Job Description

The Operations Manager will oversee on-site activities for office and lab environments, ensuring compliance with safety and regulatory requirements. This role is responsible for maintaining the operation and efficiency of office systems, coordinating supplies, managing incidents, and handling vendor relationships. The Operations Manager will also manage moves and relocations, ensure compliance and training, track budgets, manage security and waste disposal, and coordinate with IT and HR for smooth on-boarding and off-boarding processes. Regular reporting and data analysis to identify trends and areas for improvement are also key aspects of this role.

ResponsibilitiesOversee on-site activities for office and lab environments.Ensure compliance with safety and regulatory requirements.Maintain operation and efficiency of office systems, including kitchen, office equipment, and arranging repairs.Coordinate supply of office and kitchen supplies in multiple offices and lab locations.Track, prioritize, and manage incidents and requests.Maintain records of requests and incidents, and implement incident response plans.Manage third-party vendors responsible for maintaining systems.Negotiate contracts and ensure compliance with service agreements.Monitor vendor performance and address issues.Directly responsible for efficient and effective moves, relocations, and expansions or contractions.Ensure compliance with regulations and laws specific to the Life Sciences industry.Train staff on safety, security, and office procedures.Track costs and expenses related to operations.Support managing the budget and responsible for accurate and timely reporting.Monitor budget adherence and identify cost-saving opportunities.Assist in financial planning and forecasting.Manage security and access controls.Manage proper waste disposal.Coordinate with IT and HR to support smooth on-boarding and off-boarding activities.Update office policies as necessary.Develop and maintain reporting metrics for operations.Utilize Microsoft Suite of tools (Excel, PowerPoint, Power BI) to create and present reports.Provide regular updates and reports to management on performance, incidents, and project status.Analyze data to identify trends and areas for improvement.Perform other duties as requested by management.Essential SkillsProject management experience or PMP certification.Proficiency in Microsoft Office, SharePoint, and management software.Understanding of safety and regulatory requirements in the biotech industry.Excellent verbal and written communication skills.Ability to effectively communicate with vendors, staff, and management.Strong interpersonal skills to build and maintain relationships.Ability to identify issues and develop effective solutions.Proactive approach to incident management and resolution.Analytical skills to assess data and identify trends.Additional Skills & QualificationsDeep Project Management experience or PMP certification.Strong operational management and supervision skills.Safety and compliance training experience.Work Environment

Reports to Sr. Director, IT (and Facilities). Ability to work off-hours as required. Willingness to travel up to 5% of the time to all locations.
