**The Department of Civil & Environmental Engineering has an outstanding opportunity for an Operations Manager to join their team.** **POSITION PURPOSE**
The Program Operations Specialist will hold the title of Operations Manager for Civil and Environmental Engineering. This individual will manage the overall facilities, space and safety of More Hall and all other building areas occupied by CEE. This individual will also manage department endowed lectures and other social events. It is expected this individual will manage the Chair’s Office operations, as well as serve as the department’s primary point of contact for faculty, students, staff, and facilities. The individual will also provide customer services related to, coordination of facilities, safety and security issues and interaction with campus organizations such as Facilities and Environmental Health and Safety. This individual will ensure accurate and appropriate answers to financial processing requests from faculty, staff, and students. The Operations Manager will report directly to the CEE departmental Administrator.
**POSITION COMPLEXITIES**
The primary facilities housing CEE are buildings built in the 1940s so this position will manage plumbing, HVAC, roof leaks, and safety issues in the relevant laboratories on a daily basis. Due to campus security concerns, this position deals daily with break-ins, security camera surveillance, thefts, and safety issues. Due to the ongoing workload burdens associated with the Finance Transformation, this position will help support financial processing requests for the department.
**POSITION DIMENSIONS AND IMPACT TO THE UNIVERSITY**
This position is integral to enriching the working conditions of CEE Faculty, Staff, and Students, helping retain our population by establishing a safe and comfortable environment in which they can work, conduct research, and study. Additionally, the position impacts how potential candidates in recruitment as well as families and students view the department and its spaces, ensuring the building creates a strong first impression with functionality and safety.
**DUTIES AND RESPONSIBILITIES** Facilities Management
+ Manage CEE facility needs. Work directly with CEE Administrator and Chair, as well as College of Engineering (COE) Facilities staff and UW Facilities staff to design projects, obtain bids, ensure work is initiated, supervise progress of work and verify completion for all CEE facilities projects.
+ Manage, submit and keep track of all facility tickets to ensure immediate response to all requests and scheduling of subsequent work to resolve issues reported.
+ Take a proactive nature to ensure all building space is clean, properly furnished, safe, in working order and organized at all times.
+ Serve as CEE coordinator on remodel and renovation projects (interact with College and Capital Projects, UW Facilities, contractors, and suppliers).
+ Initiate, direct and monitor all maintenance activities and security measures for CEE facilities.
+ Maintain active and updated space inventory and process requests for modifications as required.
+ Provide information to the Administrator for assigning space to visitors/new professors/post-docs etc. based on funding priority and availability.
+ Manage requests for use of CEE facilities by on-campus and off-campus organizations.
+ Maintain and manage CEE equipment inventory system, including annual equipment audit; ensure adherence to university policies and procedures.
+ Coordinate surplus, moves/relocations of offices, laboratories, equipment and personnel. Ensure appropriate and timely installation of utilities and furnishings.
+ Contract with Transportation Services when needed for moves/relocations.
+ Authorize and manage building access operations via card key or physical key.
+ Oversee maintenance of key inventory, key check-outs, returns, and appropriate record keeping.
+ Anticipate future space requirements and suggest ways to create new space in current structure.
+ Attend COE and University facility related meetings and workshops as needed.
+ Ensure that the documentation of departmental blueprints including occupants, technical and facilities resources, configurations, guidelines and practices are up to date, accurate and helpful.
+ Create ad hoc reports timely and correctly as requested by the Administrator.
+ Point of Contact for Safety in CEE.
+ Interface with Physical Plant, Environmental Health and Safety, UW Police, Seattle Fire Department and College of Engineering on health and safety issues, security, and other facilities-related matters, such as annual lab safety inspections.
+ Maintain compliance with fire and safety codes, and ensure immediate correction of violations.
+ Maintain departmental emergency plan and UW Health and Safety Plan.Events & Office Management
+ Independently and in collaboration with other university offices and COE/CEE staff, plan and manage departmental special events including, endowed lectures (Daniel L. and Irma Evans Lecture, Edward Wenk, Jr. Endowed lecture; Steve and Sylvia Burges Endowed lecture), as well as other departmental social events, including quarterly mixers, for faculty, students and staff.
+ Rearrange event rooms, set-up and tear down and ensure events spaces are clean, properly furnished and ready for events, including moving furniture in/out as needed.
+ Provide administrative support to guest speakers for external events, making travel arrangements and ensuring their visit goes smoothly and reflects positively on the department.
+ Departmental contact for Audio and Visual needs/set-up, including wiring/cabling for A/V systems.
+ Manage the CEE scheduler to reserve conference rooms for faculty, students, and staff, as well as keep track of laptop, projector, owl checkouts and returns.Finance and Administration
+ Handle requisitions and other lab and facilities purchasing requests for the department and its five buildings.
+ Responsible for budget planning and budget reconciliation for facilities expenses, construction projects, and ongoing facilities work requests.
+ Additional duties as assigned by the Administrator. **MINIMUM REQUIREMENTS**
+ Bachelor's degree in a related field OR education/experience equivalent may substitute for degree.
+ At least two years of professional experience in facilities management and working with vendors both within and outside the University of Washington. **Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.** **ADDITIONAL REQUIREMENTS**
+ Ability to work in a fast-paced environment, meeting multiple deadlines.
+ Proactive nature to any building needs or potential facilities concerns.
+ Demonstrated ability to develop creative solutions for academic instructional, administrative and research space needs.
+ Excellent written and oral communications skills.
+ Excellent skills related to listening, understanding and electively communicating with people and Customer service oriented.
+ Equivalent education/experience may substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration. **DESIRED QUALIFICATIONS**
