What You Will Do
Milliman’s Western Region Property and Casualty (WRPC) Practice focuses on developing innovative insurance products for traditional and start-up insurers and the associated state regulatory rate filing support. We also provide actuarial consulting on projects that feature a wide variety of actuarial ratemaking and reserving techniques, including predictive modeling.
By providing support on a wide variety of requests and projects, the Operations Manager complements the practice by flexing to meet the needs of a busy, close-knit, professional services business. This person will directly support practice leaders in the areas of office management, marketing support, legal, billing, and other administrative support.
Success in this multi-faceted role will require the utmost integrity and flexibility, as we meet the needs and expectations of our clients. This position is ideal for a person who enjoys variety in a fast-paced, client service-oriented, deadline-driven environment.
Areas of responsibility will include:
OFFICE MANAGEMENT
Manage office space, equipment, supplies, deliveries including mail and packages. Manage in-person office access and space availability for visitors, clients, and employees. Submit and manage maintenance requests with property management. Coordinate with practice administrators, IT director, and other office support staff. Plan and manage in-person and virtual/hybrid meetings and events, including preparation of space, equipment, food, agenda, meeting materials, staffing.MARKETING SUPPORT
Optimize visibility of WRPC products and services to prospects and clients. Manage marketing efforts at industry events, including coordinating staff attendance, presentations, marketing collateral, booths, and other initiatives. Partner with corporate marketing and other corporate teams to showcase WRPC products and service. Coordinate socialization and distribution of WRPC white papers, presentations through social media such as LinkedIn accounts. Manage WRPC prospecting through WRPC Client Relationship Management (CRM) software.LEGAL
Facilitate contract signatures and file contracts in electronic legal management (ELM) database. Coordinate Milliman new client onboarding: conflict checks, client screens, billing. Ensure compliance with Milliman document retention and risk management policies. Ensure compliance with relevant laws, regulations, and internal policies, and proactively address any potential risk.ADMINISTRATIVE SUPPORT
Learn and coordinate all essential business processes. Identify opportunities for streamlining processes and improving internal collaboration. Maintain internal calendars. Prepare and process expense reports. Book travel, domestic and international.BILLING
Management of client billing, accounts receivable, accounts payable, and expense reports. Update and summarize time sheet reporting. Become a subject matter expert when new systems are implemented and identify and implement process efficiencies.
Required Qualifications and Experience
5+ years of professional experience as an executive assistant or office manager performing operations management functions Experience with Microsoft suite of products: Teams, Word, Excel, PowerPoint, SharePoint, and Outlook, OneDrive, Acrobat. Experience managing contact database, e.g. Microsoft Dynamics 365. Experience with billing (A/P or A/R). Experience with event planning. Experience with legal agreements. Coursework in general insurance paralegal, AICP, CPCU, or notary license preferred but not required. Experience developing reports and dashboards, e.g. PowerBI is a plus but not required.Essential Skills Required

This position requires fulltime onsite work in the Milliman office in Irvine, CA. Relocation assistance is not available. Some work-related travel may be required; such expenses will be reimbursed per Milliman policy.
Compensation
The salary range for this position is $79,000 - $120,000 depending on a combination of factors, including but not limited to education, relevant work experience, qualifications, skills, certifications, location, etc.
