New Jersey American Water is seeking a highly motivated, organized professional to join our team as an Operations Specialist. This role will support our field distribution team in Shrewsbury, NJ. As the Operations Specialist, you will be responsible for providing office support including processing invoices, uploading documentation to internal systems, inputting work orders, applying for and securing permits, and more. Our ideal candidate will be computer savvy and have strong communication and time management skills. 

Primary Role

The Operations Specialist provides a combination of administrative, analytical and/or technical support pertaining to routine day-to-day operations for a department or functional area.
 

Key Accountabilities Perform MapCall Supervisor approval, restoration processing, traffic control invoicing, mark out quality control, FUNO creation, manage BPEMS. Coordinate Training for field crews. (i.e., in-person, safety and applications).  Perform Operational Observations in the Field for efficiencies and safety improvements. Review and provide feedback for the preparation and/or modification of survey sketches and street opening permits Etc.  Communication to external affairs as it relates to projects and emergencies. Research, scanning, cataloging, creating, and maintaining spreadsheets; asset creation, deletion, and editing in MapCall/SAP, as well as the possibility of GIS editing within the ArcGIS environment. Uses and maintains relational databases and other reporting tools to compile, calculate, track, report and clean-up data pertaining to various reoccurring processes which may include, but are not limited to, capital programs, field projects, work orders, regulatory compliance, and employee records. Manage fleet as it pertains to local operations. Fleetio/ ARI / Fleet complete. Create, and close out projects for DISC and Developer Projects. Knowledge/Skills Thorough knowledge of standard business practices and principles, including basic accounting and budgeting. In depth Knowledge of MapCall. Code Red system.  In-depth knowledge of Microsoft office suite applications including MSWord, Excel, PowerPoint, Outlook, Teams. Knowledge of water or utility industry preferred. Knowledge of SAP asset creation/editing a plus. Ability to read and understand site/utility plans a plus. Knowledge of GIS/GPS a plus. Knowledge of AutoCAD, SAP, BlueBeam a plus. Demonstrated ability to work in a meticulous manner to ensure records are clearly and accurately maintained. Demonstrated organization and administrative skills. Demonstrated communication skills, both verbal and written. Demonstrated ability to manage and prioritize tasks Demonstrated interpersonal skills. Ability to walk 5+ miles per day while carrying 15 pounds of equipment. Ability to operate a motor vehicle. Experience locating underground assets. Willingness and flexibility to learn. Functional/Technical Skills, Learning on the Fly, Organizational Agility Problem Solving, Time Management.
  Experience/Education High school diploma with post high school coursework in secretarial science, business, finance, or accounting required; associates level degree in business, finance, accounting or engineering preferred.
  Other Job Requirements Water/wastewater certifications preferred.  The percentage of time spent performing the key accountabilities of the job may vary based on the manager, departmental or functional unit needs.
