Description We are offering a short term contract employment opportunity for an Operations Specialist in Vacaville, California. The Operations Specialist will play a critical role in our organization, focusing on managing project files, creating purchase orders, and handling billing entries. The role requires a keen eye for detail and the ability to work efficiently in a fast-paced environment.
Responsibilities:
• Manage and organize information from various sources to prepare project files for the operations department
• Generate purchase orders in line with company procedures, verifying details and obtaining necessary approvals before processing
• Input billing data into our system with a high level of accuracy and efficiency, collaborating with team members to ensure timely and accurate billing
• Resolve any billing discrepancies and inquiries as they arise
• Work closely with team members to prepare weekly timesheets for payroll submission, ensuring accuracy and compliance with company policies
• Collect and maintain weekly safety inspection reports, assisting in reviewing and documenting these reports to support compliance efforts
• Become proficient in using Sage software for billing and operational tasks, adhering to established procedures and protocols
• Assist in entering new phases for jobs in the system, ensuring completeness and accuracy
• Proactively identify opportunities to streamline operational processes and improve efficiency, demonstrating initiative to accelerate operational tasks and meet deadlines. Requirements • Applicant should possess a strong understanding of operations administration.
• Proficiency in managing billing processes is a must.
• The candidate should be capable of coordinating and managing operational tasks efficiently.
• Previous experience in an Operations Specialist role will be advantageous.
• Must have the ability to identify and implement process improvements.
• Strong communication and interpersonal skills are required.
• Should be capable of multi-tasking and prioritizing tasks according to business needs.
• Proficient in the use of software applications related to billing and operations management.
• Must have the ability to work under pressure and meet tight deadlines.
• Should have strong problem-solving skills to handle any operational issues that may arise.
• A degree in Business Administration or a similar field is preferred.
