Overview

The Operations Support Specialist is responsible for general office administration, purchasing, payroll processing, scheduling, and operations project tracking & communication. Supervisory duties to assist Rooms Division and Engineering Division.   He/she is also responsible for providing attentive, courteous and efficient service to all guests.  This individual supports the Rooms Engineering Leadership team in achieving collective goals, through assistance with project-based duties to ensure a smooth operation.

Responsibilities Greet and welcome all guests in accordance with Highgate Hotel standards. Answer guest inquires about hotel and conference center services, facilities and hours of operation in a timely manner. Answer telephone and email messages. Respond accordingly.Completes ordering for Rooms and Engineering resources as needed, including department office supplies, continuously maintaining a responsibility to budget. Ensures all orders are completed via Birchstreet, with invoices signed-off and submitted to accounting expeditiously for payment. Complete and distribute weekly department schedules.Complete all applicable payroll functions for Rooms and Engineering and turn in a timely manner. Maintain and stay abreast of the latest computer programs/innovations (as applicable).Open and distribute mail.Support any administrative or special project needs as directed by the Director of Operations & Director of EngineeringFiling of all pertinent correspondence in a timely manner.Type all correspondence pertaining to department.Maintain adequate inventory of office supplies.Responsible for the smooth operation of the office.Update and track Synergy system functionality and reporting of preventative maintenance needs and task completion.Maintain consistent communication interdepartmentally. Liaise to effectively plan and execute special projects and initiatives, including rooms preventative maintenance, renovation and enhancement projects, and VIP room preparations.Assist with including but not limited to: answering MOD phone, responding to guest correspondence via email or text message Assists with preparation and set up for guest experience holiday and room enhancements as neededPartner with Guest Experience team to monitor, track and drive results in Guest Service Satisfaction within the operations of the hotel.Perform other duties as requested by management.

 

Qualifications

Education & Experience: 

High School diploma or equivalent required and/or experience in a hotel or a related field required. At least 3 to 5 years of progressive experience in a hotel or related field preferred in a fast-paced environment. College course work in related field helpful.Computer knowledge/skills required.High school or equivalent education required. Bachelor’s Degree preferred, with emphasis hospitality, business, marketing, communication.Must possess strong computer skills, including Outlook, Word, Excel, PowerPoint.

Physical Requirements:

Flexible and long hours sometimes required.Medium work - Exerting up to 25 pounds of force occasionally, and/or 10 pounds of force frequently or constantly to lift, carry, push, pull or otherwise move objects.General Requirements Maintain a warm and friendly demeanor at all times.Must be able to effectively communicate both verbally and written, with all level of employees and guests in an attentive, friendly, courteous and service oriented manner.Must be effective at listening to, understanding, and clarifying concerns raised by employees and guests.Must be able to multitask and prioritize departmental functions to meet deadlines.Approach all encounters with guests and employees in an attentive, friendly, courteous and service-oriented manner.Attend all hotel required meetings and trainings.Maintain regular attendance in compliance with Highgate Hotel Standards, as required by scheduling, which will vary according to the needs of the hotel.Maintain high standards of personal appearance and grooming, which includes wearing nametag.Comply with Highgate Hotel Standards and regulations to encourage safe and efficient hotel operations.Maximize efforts towards productivity, identify problem areas and assist in implementing solutions.Must be effective in handling problems, including anticipating, preventing, identifying and solving problems as necessary.Must be able to understand and apply complex information, data, etc. from various sources to meet appropriate objectives.Must be able to cross-train in other hotel related areas.Must be able to maintain confidentiality of information.Must be able to show initiative, including anticipating guest or operational needs.Knowledge of Hotel Operations to include Front Office, Engineering and Housekeeping OperationsAble to prepare schedules based on productivity Perform other duties as requested by management.

Salary is $27-$28/hourly
