**About the Role**
The Operations Support Specialist plays a vital role in ensuring the smooth operation of day-to-day business functions. This position involves managing financial tasks, maintaining accurate records, facilitating supply logistics, and providing cross-functional support to the Site Operations team.
**Key Responsibilities**
1. **Financial Management**
2. Code and submit invoices for approval and payment.
3. Reconcile vendor and rent accounts, ensuring accurate documentation and communication with vendors and landlords as needed.
4. Update and maintain financial records in VisualLease, including uploading rent statements, financial data, and supporting documents.
5. **Supply Management**
6. Oversee supply ordering for all owned and operated (O&O) locations.
7. Collaborate with site teams and vendors to address supply issues, billing discrepancies, and improve processes.
8. **Internal Projects**
9. Support internal projects based out of the Olathe office, including shipping client-specific supplies, tracking shipments, and summarizing reports.
10. Assist in supply shipping and tracking for signage, locker bags, and other operational needs.
11. **Cross-Functional Support**
12. Provide backup support to the Site Operations team for maintenance-related issues.
**Knowledge, Skills and Experience**
+ Proven experience in operations, administrative support, or a related role.
+ Strong organizational skills with the ability to manage multiple tasks and deadlines.
+ Proficiency in using financial and operational software, such as VisualLease or similar platforms.
+ Excellent communication skills to interact with vendors, landlords, and internal teams.
+ Detail-oriented with a focus on accuracy and process improvement.
+ Financial reconciliation and invoicing
+ Supply chain and inventory management
+ Proficiency in software tools and systems
+ Problem-solving and process optimization
+ Effective communication and teamwork
