Day - 08 Hour (United States of America) **This is a Stanford Health Care job.** **A Brief Overview** The Ophthalmic Assistant provides clerical and technical ophthalmic assistance for the Byers Eye Institute multi-specialty group practice. The Ophthalmic Assistant provides administrative and front office support including patient check-in/out, collecting patient payments, performing insurance verification, scheduling patient follow-up appointments and/or ancillary testing, obtaining records/authorizations, and creating encounter(s) in patient registration system(s). Assists in coordinating patient flow throughout the clinic, from registration to discharge. In addition, the Ophthalmic Assistant will obtain medical histories from patients with standard and rare medical disorders. Patient care duties include recording patient ocular/systemic history, obtaining visual acuity, autorefractometry, lensometry, tonometry, pupillary defect evaluation, confrontational field testing, administration of eye drops for pupil dilation with topical anesthesia, and assisting with minor procedures. Assists with administrative duties including patient follow up calls, prescription refills, clinic preparation, file preparation, appointment scheduling, submission of billing, preauthorization, sending dictations, insurance verification, and completing all return to work and return to school forms, under the supervision of the physician. **Locations** Stanford Health Care **What you will do** + Daily interactins with assistant technical/patient care manager(s) and dctrs, as well as peridic meetings with clinic manager. Incumbents are expected t wrk with minimal supervisin; peridic and regular prgress checks are perfrmed t evaluate and adjust wrklad accrdingly. + Greet Patients and Perfrm Check-In/ut Prcess + Interface with electrnic medical recrds and scheduling system(s). + Prvide excellent custmer service. + Verify/update demgraphic and insurance infrmatin. + Cnfirm/btain Primary Care Prvider and Referring Prvider infrmatin. + Scan insurance/ID card(s) and any ther pertinent insurance material(s). + Explain cnsent/HIPAA frms and nncvered services frms t patient and btain patient’s signature(s) n all relevant frms. + Assure patient has cmpleted patient questinnaire(s), as needed. + Fr managed care patients, assure that preauthrizatin is present, when needed, and that preauthrizatin is accurate. + Accurately cllect c-payments/deductibles and patient’s fees fr services via check, cash, r credit card and dcument, per prtcl. Prepare patient receipts accrdingly. + Arrive patients using the prper registratin system(s). + Plitely infrm patients f pssible delays relating t their appintments. + Cllate chart apprpriately in preparatin fr technician and prvider t see the patient. + Perfrm patient encunter in cmputer system(s). + Schedule future appintments, prcedures, ancillary testing and/r enter recalls as indicated by patient’s prvider(s). + Prvide dispsable dark glasses (i.e., mydriatic specs) fr patient’s that have been dilated. + Make calls fr patient transprtatin, upn apprpriate patient request. + Perfrm all tasks in a safe manner in cmpliance with rganizatinal safety plicies and accrding t applicable regulatins; maintain a neat wrkstatin and envirnment. + Maintain cnfidentiality f all recrds and infrmatin that pertains t patients, physicians, emplyees, the rganizatin and in related interests. + Patient Registratin and Appintment Scheduling + btain, dcument and update in apprpriate system(s) all necessary patient infrmatin. This invlves interactin with varius insurance cmpanies, and ther payrs/institutins. + Verify cverage with apprpriate insurance r health care plan carrier. + Accurately crdinate the registratin, referral, and scheduling activities f the Byers Eye Institute. + Ensure patients are accurately scheduled. + Input validated patient registratin infrmatin int the rganizatin’s infrmatin systems. + Rutinely review existing scheduling templates fr future appintment availability in rder t effectively schedule patient’s appintments. + Answer telephne lines and make necessary patient accmmdatins in the Department f phthalmlgy r in Stanfrd Health Care. + Prvide infrmatin t callers regarding the Department and its patient care services. + Crrectly enter patients’ recalls fr patients’ future visits in the apprpriate practice management systems. + Fr patients wishing t be seen in ther gegraphic areas, make appintments with cnveniently lcated clinical faculty. + Appintment-making fr the Byers Eye Institute includes btaining pre-authrizatins and ther dcumentatin, as apprpriate. “ther dcumentatin” may include, fr example, eye ntes frm previus phthalmic prviders. + Prvide lcatin and ffice hurs f emergency services t patients wh state they are experiencing an eye emergency. + Clinical Duties + Accurately dcument, recrd, and update patient’s cular and medical histry, and all ther medical infrmatin as requested by prvider, in electrnic and/r paper medical recrd. + Perfrm all necessary tests fr physicians t adequately diagnse patients including recrding patient’s cular histry, btaining visual acuity, autrefractmetry, lensmetry, keratmetry, tnmetry, tpgraphy, visual fields, cular mtility testing, bimetry, and ptical cherence tmgraphy. + Administratin f eye drps fr pupil dilatin and tpical anesthesia, under prvider supervisin. + Prvide assistance t physicians during minr surgical prcedures (intravitreal injectins and laser treatments) by setting up instruments and medicatins, respnding t physician needs during prcedure and prepare instruments after prcedure fr reprcessing. + Prcess patient requests fr medicatin refills including cntacting pharmacies t rder prescriptin refills. Determine the need fr physician review f prescriptin refills. + Be willing t be trained and use newer technlgies such as micrperimetry r experimental equipment that pses minimal risk t patients (training will be prvided). + Assist and educate patients n hw t take their medicatins. + Handle daily schedule t assure that patients are seen at prper intervals. + Maintain equipment and supplies fr patient examinatin rms. This includes dating tpical medicatins and remving expired materials. + Prperly clean/disinfect instruments and equipment rutinely. + Prepare the necessary supplies fr diagnstic testing, exams, and prcedures. + Prvide basic maintenance f al clinic equipment. + Ensure instruments and devices are clean, fully functinal, and sterilized if necessary. + Ensure rms are stcked daily with medicatins and phthalmic supplies, place rders as necessary and apprpriate. + Cnsult with physician cncerning test results and alert physician t psitive test results r test abnrmalities. + Prvide patient care supprt fr ther services, when necessary. + Reprt patient cncerns, symptms, reactins, and changes t licensed clinic persnnel. + Serve as liaisn between the medical staff and patients t answer questins, crdinate patient care, and/r prvide patient educatin. + Mnitr and track wrk requests. + Perfrm all tasks in a safe manner in cmpliance with rganizatinal safety plicies and accrding t applicable regulatins; maintain a neat wrkstatin and envirnment. + Prvide excellent custmer service. + Maintain cnfidentiality f all recrds and infrmatin related t patients, physicians, emplyees, the University and in related interests. + btain, dcument and update in apprpriate system(s) all necessary patient infrmatin. + General Administrative Duties + Triage patient issues t achieve timely reslutin. + Respnd t requests by dctrs and staff during clinic. + Fllw up calls t patients, checking n status after prcedures, appintment verificatins r reschedules. + Assist with file preparatin, inputting apprpriate frms in charts, insurance verificatins and apprvals. + Maintain clinic/patient flw, balancing diagnstic testing requirements, patient appintment times, and nn-appintment activities. + Crdinate service requests with apprpriate vendrs and Stanfrd IT Supprt teams. + Assist assistant technical manager(s) and clinic manager with design and implementatin f educatinal prgrams, which supprt prfessinal grwth and staff develpment. + Assist with pharmaceutical inventry and lgs; identify variances. + Always maintain and prtect patient cnfidentiality. + Supprt and participate in department huddles and team meetings. + Demnstrate CICARE service standards. + Perfrm ther duties r prjects, as assigned, r requested. **Education Qualifications** + High School diploma or GED equivalent **Experience Qualifications** + Experience working in a university-based medical facility/academic teaching environment.Preferred **Required Knowledge, Skills and Abilities** + Two years’ customer service experience. + Working knowledge of basic medical terminology and diseases, as it applies to the eye. + Skill in acquiring accurate medical history, measuring, and recording visual acuity, and tonometry. + Knowledge of various ophthalmic clinical protocols. + Ability to work with Microsoft Word & Excel software. + Ability to type with speed and accuracy. + Ability to write concisely and clearly, edit, and proofread to ensure grammatically correct and factual correspondence. + Excellent interpersonal skills. + Ability to work independently with minimal supervision. + Ability to prioritize activities with varying time sensitivities. + Ability to analyze clinical and administrative information and determine appropriate course(s) of action to resolve conflicts and discrepancies. + Pleasant, caring and compassionate personality. + Ability to interact effectively with patients, staff and physicians. + Knowledge of the operations and maintenance of patient-related testing equipment. + Responsible and detailed-oriented. + Ability to learn state of the art diagnostic equipment. + Ability to organize and prioritize duties to maximize clinic efficiency. + Ability to work as a team member in an ophthalmic setting. + Flexibility and adaptability given the dynamic nature of medicine and departmental needs. + The ability to interact calmly and effectively with patients with difficult personalities. + Demonstrate professional and effective work skills to handle all responsibilities within a fast-paced, high pressure setting. + Strong organizational and follow-up skills. + Ability to multitask effectively. **Licenses and Certifications** + BLS - Basic Life Support . **These principles apply to ALL employees:** **SHC Commitment to Providing an Exceptional Patient & Family Experience** _Stanford Health Care sets a high standard for delivering value and an exceptional experience for our patients and families.
