OPS Office Assistant
Job Description:The Marketing Department in the Warrington College of Business (WCB) at the University of Florida is seeking to hire one OPS Office Assistant . The incumbent provides secretarial and administrative support to the Department of Marketing Chairman, Office Manager, other full-time and adjunct faculty members, graduate students, and walk-ins.
Travel:
Coordinate and process all travel in UF GO for the Sales Program, which includes booking hotels and airfares, paying for conference registrations with Pcard, processing travel requests and expense report reimbursements.
Add all financial expenditures on the Sales Program spreadsheet.
Process any student scholarship payments earned at conferences.
Ensure all department and university policies are followed.
Fiscal/Purchasing Duties:
Make purchases, pay invoices, and maintain a record of all expenditures for the Sales Program on the spreadsheet.
Order catered meals for Gator Slam, Friday Sales Seminar, and other sales events. Process orders in My UF Market.
Purchase office supplies for the department, pay invoices, and follow all UF best practices.
Administrative duties:
Serve as Marketing Dept. secretary/receptionist, answer phones, greet & assist all visitors, faculty, and staff.
Pick up and distribute incoming/outgoing mail.
Maintain department conference room calendar.
Make reservations for seminar rooms at Warrington College of Business.
Process key requests for the Department and maintain a record of key assignments.
Collect and post an electronic copy of faculty teaching portfolios on R drive. Enter textbook adoptions and assist faculty in obtaining examination copies.
Perform any additional responsibilities as assigned by supervisor.
Type correspondences as requested.
Collect and review course syllabi for compliance with UF Policy, post syllabi on R Drive and website.
Expected Salary:
$18 - $20 per hour.
Minimum Requirements:High school diploma or two years relevant experience.
Preferred Qualifications:Knowledge of UF Marketplace, UF GO and UF procedures and regulations.
Working knowledge of general accounting software and accounting procedures.
Excellent oral and written communication skills.
Strong organizational skills.
Ability to plan, organize and coordinate work assignments and meet deadlines.
Detail-oriented and able to work independently with minimal supervision.
Proficient in Microsoft Office Suite (Excel, Outlook, Word
