Job Description
We are seeking a detail-oriented and proactive Order Entry Specialist to manage and process incoming client requests regarding order status. The ideal candidate will manually input customer orders into the ERP system, validate and release orders, and coordinate resources from various teams to assist customer support. This role involves providing administrative support for ERP system management, documenting team activities, and auditing open purchase orders to ensure timely processing.
ResponsibilitiesManually input customer orders into the ERP system.Vet, process, and validate purchase orders in the ERP system.Validate and release orders in GHX.Coordinate resources from Service Repair Engineers/Technicians, Logistics, and internal/external teams to assist customer support.Assist with service contract setup and management.Provide administrative support for ERP system management.Document team activities as needed.Audit open purchase orders, credit holds, and future orders to ensure timely processing and account setup.Regularly review the PO Matrix and ERP to identify outlier customer purchase orders and ensure accurate order fulfillment.Assist the Ops Manager with monthly reports and metrics.Respond to general customer inquiries regarding purchase order status and submissions, and sales and service information (quotes, instructions, directions).Maintain the internal Purchase Order and New Customer Account Matrix.Communicate with the order fulfillment operation and Sales Team regarding order fulfillment.Coordinate customers and service provisions for timely dispatch of purchased repair parts.Provide backup support for service/support activities.Set up and maintain new customer accounts, including credit approval, tax exemption certificates, price lists, and parts-sales processing in the ERP system.Coordinate service support for service contracts.Review customer purchase orders and complete the vetting procedure to ensure timely and accurate order fulfillment.Perform other duties as assigned.Essential SkillsExperience with ERP systems (any kind, moving to Microsoft Dynamics).Experience with manual purchase order processing.Experience working in high volume environments, handling 100-500 orders on a given day.Additional Skills & QualificationsStrong customer support skills.Excellent communication and coordination abilities.Attention to detail and accuracy.Work Environment
This position is based in the office from Monday to Friday. The initial training period of four weeks will be from 8am to 5pm, after which the shift will be from 9am to 6pm. The work culture is highly valued, with regular luncheons, town halls, and an employee recognition system in place.
Pay and Benefits
The pay range for this position is $23.00 - $25.00/hr.
