*The Office of the Senior Vice President (OSVP) led by Dr. Dawn M. Rhodes*has grown in size and complexity. With the hire of the DEI Executive Director and the upcoming rollout of the Wiser Together Series, the office requires administrative support in setting up, communicating, tracking, and evaluating ongoing learning initiatives. With this growth and the overall activity of the office there has been an increase in demand for general administrative support. There should be a strong commitment to equity and inclusion. / *Duties:* *Provide administrative coordination for the A&F Office of Diversity, Equity, and Inclusion. - .6 FTE* * Coordinate the office's day-to-day training and learning activities, including identifying and scheduling training times and locations, organizing files, ordering supplies, preparing training materials, tracking training completion, and sending out training evaluations. * Manage the training calendar. * Function as communication lead for the office, including responding to inquiries regarding training sessions, registering staff for sessions, sending email training and event reminders. * Support training facilitation including collaborating with instructors to create written and visual training-related materials; creating and analyzing feedback forms to produce basic reports on the training outcomes; assisting with classroom facilitation. * Support A&F Employee Resource Groups with administrative duties. *Provide Administrative Support the SVP’s Chief of Staff /A&F Director of Strategic Projects -.3 FTE* * Provide administrative support to SVP’s Chief of Staff (COS) to include scheduling meetings, calendar management, and meeting minutes. Assists with receipt of and distribution of materials related to COS programmatic oversight, including strategic planning and retreats. * Supports COS with all executive recruitments within Administration and Finance. Includes coordinating meetings and interviews with candidates and search firm(s), escorting candidates on campus, managing catering needs of search committee, parking logistics for candidates, etc. * Assists in the identification of dates, times, and locations for A&F retreat activities. Facilitates catering, IT, and parking needs for retreats. * With Senior Communications Specialist and COS, develops and distributes communications in support of retreat activities. Includes maintenance of A&F Core Leadership membership roster. *General OSVP Support - .10 FTE* * Functions as backup for key SVP Office personnel, including Manager of Business Operations and Office Manager. This includes complex calendar management and meeting support in the absence of the Manager of Business Operations. * Will perform general administrative support tasks for all SVP activities, to include executing basic office procedures and processes, managing Department SharePoint site, maintaining central division and event calendars as well as email distribution lists, and supporting physical space management. * Key support role for A&F special projects and events. Will identify special event locations, coordinate catering, and provide operational support for all activities. * Perform other related duties as assigned. *Education:*Bachelor's degree. *Experience:*Two (2) years of administrative or program coordination experience. *Other:*This job allows substitution of an additional two (2) years of relevant experience with an associate’s degree. *Skills, Abilities, and Work Habits:* * Maintains a professional demeanor and is a self-starter who takes initiative. * Possesses strong organization and time management skills. * Is proficient in Microsoft office applications as well as Outlook calendar management. * Utilizes discretion in handling confidential matters. * Interacts effectively with senior leaders. * Possesses strong written and oral communication skills. * Works collaboratively in support of the A&F mission. *Preferred Skills:* * Experience in Higher Education. *Hiring Range: $60,000 - $69,000 (Commensurate with education and experience) * UMB is an Equal Opportunity/Affirmative Action Employer.
