Paralegal/Administrative Assistant
The Legal Support Specialist 3 is a non-attorney role, responsible for providing legal support to the Citi Legal team. This role requires a pragmatic, proactive professional with thorough understanding of the Citi Legal Team. The overall objective of this role is to provide support to the Legal Team. **Responsibilities:** + Responsible for legal support activities related to legal operations, litigation, discovery or settlements + Executes, reviews, processes and tracks legal documentation, executes transactions and completes varied work requests from multiple sources that may be complex in character and have tight deadlines + Prepares reports and conducts administrative legal work; may contribute to the processing of billing and/or legal settlements + Maintains detailed records, creates, prepares and processes legal documentation under direction of general counsel + Conducts research on legal precedent while staying abreast of new and changing regulatory and legal issues and industry initiatives + May be responsible for legislative/regulatory tracking and distribution of tracking results to legal and business colleagues + Works closely with team’s manager and legal peers to complete tasks assigned; investigations, research, communications, classification/routing of documentation + Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behavior, conduct and business practices, and escalating, managing and reporting control issues with transparency. **Qualifications:** + 2-5 years of relevant industry experience, preferably with some experience working in a corporate legal department or law firm + Ability to manage complex documentation with organization and detail + Proficient in Microsoft Office: Word, PowerPoint, Excel, Outlook + Must possess excellent written and verbal communication skills as well as project management skills + Knowledge of legal customs and practices + Knowledge and understanding of the financial services industry **Education:** + Bachelors/University degree or equivalent experience IP Paralegal Job Description-- The Intellectual Property Paralegal will provide high level legal support to the IP team (trademark-focused). Must be innovative, comfortable with technology, have a growth mindset and excellent communication skills. The paralegal will help the department to manage record-keeping in connection with its global portfolio of trademarks, and support a variety of department processes and functions, which may include the following: + Assist with reviewing, executing, and maintaining department Powers of Attorney. + Assist department attorneys with a wide variety of IP related agreements. + Prepare consent letters for attorney and business review and signature. Provide trademark agreement redlines and prepare associated trademark schedules. + Maintain IP agreement templates and manage retention of finalized versions of such agreements. + Create new records on, make updates to, and docket trademark prosecution information in internal trademark database. + Generate reports from the internal trademark database in response to department requests and as part of maintaining the company global trademark portfolio. + Manage requests from and interact regularly with Citi businesses and department attorneys regarding a wide variety of IP matters, including trademark clearance, renewals and agreements. + Review mobile applications, websites, advertisements and marketing collateral for proper trademark use, trademark and copyright notices, and general IP related issues. + Support trademark and copyright enforcement matters, including: a) conducting web-based and other research investigations into third parties, problematic third-party marks or infringing uses of IP for investigation purposes; b) assisting attorneys with collecting and sending evidence, including the preparation and drafting of Affidavits; and c) reviewing settlement, undertaking, and co-existence agreements and decisions received in IP proceedings and update docket accordingly. + Maintain IP Legal records - paper and electronic forms. Help identify and implement process improvements to enhance the team’s records management process. + Format, print, scan, mail, assist with legalization and coordinate signature for various types of legal documents, including letters, affidavits and IP agreements. + Process electronic signatures for various types of legal documents, including letters, affidavits and IP agreements. + Manage the legal invoice and billing activities of the IP team. Includes use of Passport billing software. + Provide support for the IP Legal team for frequently used software (Adobe, Microsoft Office suite, etc.) and coordinate IT support. + Provide support and backup as needed for patent docketing, administrative patent tasks, and database updates and queries. + Provide support for the AI legal team by conducting research, compiling and organizing informational reports and presentations, and tracking AI activity across Citi business. + Perform other related duties as needed or assigned. QUALIFICATIONS + Minimum 3+ years of IP paralegal experience; some in-house corporate experience preferred + File management, database, legal billing and powers of attorney experience is preferred + Knowledge and experience with marketing content review, the trademark life cycle, and agreements is a plus + Knowledge and experience with trademark searching, due diligence, trademark prosecution, trademark watching and trademark enforcement matters is a plus + Database management and entry experience. Experience with IP docketing is a plus + Proficiency in MS Office including Word, Excel, Outlook, PowerPoint + Strong organizational skills; ability to handle and prioritize multiple projects and manage deadlines + Detail-oriented with analytical and critical thinking skills, proactive, effective at multi-tasking, and able to work well under pressure and to work independently as well as collaboratively + Excellent oral, written and interpersonal communication skills + Work well individually and as a team-member; and + Self-starter, with demonstrated commitment to continuous improvement.
