Overview The Subcontracts Specialist / Paralegal plays a crucial role in managing and administering subcontracts to ensure compliance with company policies, legal requirements, and industry standards. This position is responsible for coordinating with internal teams, negotiating subcontract terms, and maintaining comprehensive records. The ideal candidate will possess a strong understanding of legal procedures, exceptional organizational skills, and a keen eye for detail. Responsibilities Subcontract Negotiation and Preparation: Lead the negotiation, drafting, and execution of subcontracts, ensuring that terms and conditions, pricing, and scope of work align with company policies and legal requirements. Contract Compliance: Ensure that all subcontracts comply with relevant legal, regulatory, and industry standards, while mitigating potential risks. Certificates of Insurance (COI): Oversee the collection and review of COIs to ensure compliance with subcontract requirements. Monitor and track renewal certificates to maintain up-to-date records. Documentation and Reporting: Maintain accurate and organized records of subcontracts, amendments, and COIs. Prepare detailed and timely reports for senior management on the status and progress of subcontract execution. Collaboration and Communication: Coordinate effectively with cross-functional teams, including procurement, legal, and finance, to ensure smooth subcontract administration. Act as the primary point of contact for subcontractor inquiries, issues, and resolutions. Qualifications Education: Bachelor’s degree in Business Administration, or a related field, or equivalent professional experience. Experience: Minimum of 2-4 years of experience in subcontract management or contract administration, ideally within a construction, engineering, or project-based environment. Skills: Strong negotiation, communication, and interpersonal skills.  Ability to manage multiple projects simultaneously and collaborate effectively with cross-functional teams.  Proficiency with Microsoft Office Suite and contract management software.  Excellent written and verbal communication skills.  Exceptional attention to detail and organizational abilities. Preferred Qualifications: Certifications: A Paralegal certificate is preferred Industry Knowledge: Previous experience within the construction or engineering industry is highly desirable.
