Part-time Accounting Administrator

Aplin is seeking a skilled and experienced part-time Accounting Administrator with a strong background in the architecture and engineering (A&E) industry.
This remote position requires the candidate to be based in Calgary to attend occasional team events. The ideal candidate will bring expertise in A&E industry processes, quickly adapt to the role with minimal training, and contribute effectively from day one.
Responsibilities:
Assist Project Managers in Phoenix and Calgary with invoicing using Harvest and QuickBooks Online (QBO).Track time and expenses for month-end billing preparation.Coordinate with other accounting departments for streamlined processes.Process travel expense invoicing.Handle payroll processing for Phoenix and Calgary offices.Manage onboarding and offboarding processes, including tax forms, benefits, and vacation/sick leave setup.Provide general administrative support as needed.Assist with drafting and sending offer letters.Schedule quarterly staff reviews for all employees.Help in writing and sending fee proposals.Update membership platforms like Miro and professional memberships for staff licensure, insurance, and WCB.Coordinate tax filings in collaboration with bookkeepers.Oversee healthcare coordination for all staff.Manage business licensure requirements in Alberta and Arizona.Qualifications:
Proven bookkeeping experience, preferably in the architecture and engineering industry.Proficiency in Harvest and QuickBooks Online.Strong understanding of payroll processing and tax filings.Ability to manage complex billing processes.Excellent organizational and time management skills.Strong communication and coordination abilities.Experience with professional membership management and business licensure.Comfortable working remotely with occasional in-person team events in Calgary.Flexible availability for 10 hours per week, with at least half of the hours during standard work hours (8-5pm MST).Located in Calgary, AB.
