Part-Time Admin Specialist - Vendor & Billing Management
Location: Rahway, New JerseyJob Type: ContractCompensation Range: $25 - 28 per hourOur client is looking for a Part-Time Admin Specialist to support their Corporate Affairs Center of Excellence team. This position will be responsible for supporting the Associate Director of Operations with administrative vendor management, billing and budget management tasks. The ideal candidate will have spectacular attention-to-detail and some experience with payment systems (like SAP or Ariba) or bookkeeping.This will be a fully remote, part-time ongoing opportunity at around 20 hours per week. Candidates must be available to work afternoons in EST or mornings in PST.Responsibilities:Scope of work and core responsibilities include:Billing-, budget- and vendor-management tasks, such as: Working with vendors and Procurement to add new vendors to financial systems. Independently manage follow up communication(s) with vendors, including reminders to complete outstanding tasks or about departmental processes, securing missing invoices and activity reports, etc. Auditing PO balances in Ariba and updating the billing tracker weekly. Fielding basic questions from vendors and internal team members (referring to billing tracker and/or Ariba) on PO balances, payment disbursement dates, outstanding approvals, etc. Logging invoices into billing tracker and filing invoices into appropriate folders. Facilitating invoice pass-through approvals for independent contractors. Complete necessary training and credentialing for specific permissions (e.g., Non-PO expert supplier requestor) in financial systems; maintain credentials as additional training is assigned. Support with other organizational and tracking projects, tasks and duties as assigned/delegated by the Associate Director of Operations. Qualifications:Required education and experience: High School Diploma/GED or higher, with 5+ years of bookkeeping OR general administrative experience required. Proficiency in Microsoft Office Suite applications, including Excel, Outlook and Word. Candidate must have exemplary attention-to-detail, data entry, time management and project management skills.  Preferred experience and Skills: Candidate should have a positive attitude, as well as strong problem solving, organizational and communication skills. Candidate should have some experience with payment systems (like SAP or Ariba) or bookkeeping.
