Part-Time Administrative Assistant
Description We are offering a long term contract employment opportunity for a Detail Oriented Part-Time Administrative Assistant. As a Detail Oriented Administrative Assistant, you will be working in a services environment, with your main tasks revolving around customer service, data entry, and event coordination. You will be handling a range of responsibilities, including maintaining schedules, ensuring customer satisfaction, and supporting administrative and billing tasks. Responsibilities: • Manage customer service inquiries, both inbound and outbound, ensuring all issues are resolved promptly and accurately. • Maintain detailed customer records by performing data entry tasks with precision. • Correspond with customers through email, providing necessary information and addressing their concerns. • Schedule appointments and manage calendars for instructors providing training programs. • Utilize Microsoft Excel, Microsoft Outlook, Microsoft PowerPoint, and Microsoft Word to perform various administrative tasks. • Assist in the organization and execution of approximately four on-site advisory events per year, including food ordering, room booking, and overall event planning. • Support billing and payroll processes at the end of each month, including running payroll reports, quality assurance of hours and rates, and transferring information to accounting. • Use Salesforce to track schedules for instructors, ensuring alignment across different systems. • Provide support for project setup and team coordination, including sending timecard reminders and keeping workflows on track Requirements • Minimum of 2 years of experience working in an administrative role • Proficient in answering inbound calls and handling customer service queries • Demonstrated ability in data entry tasks with a high level of accuracy • Strong skills in email correspondence, ensuring effective communication with team and clients • Experience with both inbound and outbound calls, providing excellent customer service • Proficient in Microsoft Excel, Outlook, PowerPoint, and Word • Ability to schedule appointments and manage calendars efficiently • Experience with Salesforce administration is a plus.
