**Job Summary and Qualifications**
**POSITION SUMMARY:**
The Patient Scheduling Specialist will act as the first “welcome” for callers on behalf of the CMC practices. Specialists will support a smooth communication experience for patients and medical personnel related to the physicians scheduling guidelines and the relationship between Access CMC and the medical disciplines it serves. The ideal candidate combines a knowledge of customer service and the skills required to provide a patient experience complete with passion and empathy.
**PRINCIPAL DUTIES AND RESPONSIBILITIES:**
Under the general direction of the Practice Manager and within established rules, regulations, policies and procedures of governing bodies, CMC and the department, the incumbent performs the following functions:
1. Respond to multi-channel inquiries (phone, email, fax, portal, EMR messaging, and any additional access channels) from patients, providers, employees, and others regarding appointments and services within Access CMC in accordance with established CMC guidelines
2. Handle outbound call efforts; perform duties related to outbound calls, as necessary.
3. Utilize physician/provider scheduling guidelines to schedule appointments while meeting established Contact Center performance goals.
4. Use CMC Healthcare systems, contact center applications, reference materials, and websites to enter patient information, answer patient questions, verify insurance, perform specific scheduling functions, and other duties as necessary or assigned.
5. Complete call processing in an efficient manner, working as part of the team to handle the call volumes.
6. During all interactions, display characteristics of compassion, respect, patient-centered care, human dignity, de-escalation and excellence.
7. Proactively read emails daily and keep up to date on all communications.
8. Participate in multidisciplinary quality and service improvement teams as appropriate.
9. Commitment to providing excellent service to CMC patients, customers, and providers.
10. Participates in appropriate role in disasters, fire drills, fires and other emergency situations.
11. Exercises care in the use and operation of equipment and reference materials. Performs routine maintenance to ensure continued functioning of equipment. Maintains work area in a clean and organized manner.
12. Demonstrate regular, consistent, and punctual attendance.
13. Perform other duties as assigned.
**KNOWLEDGE, SKILLS AND ABILITIES:**

9. Solid verbal communication skills and interpersonal skills:
· Comfortable interacting with patients/customers on phone (and other channels such as email and Chat)
· Able to listen, maintain rapport, show empathy, de-escalate and use proper telephone etiquette.
· Communicate using proper grammar, articulation, and speech clarity.
10. Flexible, team player, receptive to change, able to learn quickly and retain new information.
11. Be organized, able to think critically, identify needs, and solve problems.
12. Self-directed and able to multitask. Visual acuity sufficient for work which deals largely with preparing data and figures, accounting, transcription, computer terminal operation, extensive reading and visual inspection of small parts/devices.
13. Ability to file alphabetically and numerically; general computer knowledge and skills; ability to perform basic math; working knowledge of ICD-9 and CPT coding and insurance procedures
14. Requires the ability to perform repetitive or routine duties working from detailed instructions and under standard procedures. Requires the making of minor decisions.
15. Ability to work with frequent interruptions and respond appropriately to unexpected situations.
16. Ability to operate a personal computer and related software.

**WORK SCHEDULE:**
· Generally Monday through Friday, day shift
**QUALIFICATIONS:**
Education:
· High School diploma or equivalent
Experience:
· Two to three years’ experience in health care setting performing similar work activities
· Computer/PC literate and able to navigate different applications/systems and websites. Experience with Allscripts and TalkDesk is a plus
