Patient Flow Coordinator - Admissions Department (2:30p-11p)

The ideal candidate will have at least four years of experience in a healthcare or customer service environment to include one year in patient access. Must be able to work 2:30pm-11pm shift with rotating weekends and holidays.

Summary- The Patient Flow Coordinator role encompasses Transfer Center Coordination, Patient Placement/Bed Assignments, Workqueue Management, Patient Registration and Front Desk Operations. The coordinator plays a crucial role in maintaining consistent and timely patient flow while upholding the highest standards of care. Responsibilities include coordinating hospital-to-hospital transfers, using algorithms and workflows to assign beds, registering patients, handlings add-ons, reschedules, and cancellations appropriately, working various quality workqueues and promptly addressing any issues that may impact service delivery. Upholding patient confidentiality and HIPAA regulations is of utmost importance, as is providing support to clinical staff and demonstrating excellent communication skills and decision-making abilities. As a key member of the Capacity and Logistics Management Unit, the Coordinator contributes to the overall success of the University of Texas M.D. Anderson Cancer Center by ensuring efficient patient flow in compliance with all regulatory requirements. This position reports to the Supervisor of Patient Flow.

Key Functions (Transfer Center) - The Patient Flow Coordinator is a key contact at MD Anderson for hospitals and providers, offering essential administrative support. They provide crucial support and information for hospital operations, leveraging their extensive knowledge of clinical software, algorithms, and regulatory and legal requirements. They manage patient information, generate medical record numbers, complete intake forms, update arrival times, and ensure accurate data entry. The coordinator facilitates EMTALA transfers to the Acute Care Cancer Center, collaborating with the Patient Flow Transfer Center RN and the Capacity and Logistics Management Unit. They work with the Bed Planner and Triage RN to expedite bed assignments and transfers, provide progress updates to sending facilities, and ensure EMTALA compliance while finalizing transfer requests. Key functions include transfer coordination, collaborative coordination, effective communication, addressing barriers to transfer, ensuring accurate information exchange, data monitoring, proactive issue resolution, issue management, regulatory compliance, clinical data utilization and patient-centered focus.

Patient Placement / Bed Assignment - The Patient Flow Coordinator enhances care quality, safety, and resource utilization by ensuring patients are placed in the most suitable care level. Using critical thinking and sound judgment, they promote transparent communication across the institution. As part of the Capacity and Logistics Management Unit, they utilize tools to track patient movement, monitor capacity, room status, and progress. They collaborate with the Patient Flow Triage RN for triage, facilitate timely transfers and discharges, and contribute to daily bed meetings by evaluating admission criteria, unit specialties, and patient needs. Key functions include coordinating bed management efficiently, team collaboration, data analysis, information sharing, serving as the central communication hub, proactive problem-solving, regulatory compliance and patient-centered approach.

Registration/Workqueue Management/Front Desk Operations - The Patient Flow Coordinator ensures accurate collection and entry of demographic, clinical, and insurance data into the EHR for arriving patients. They conduct medical necessity checks per Medicare guidelines, maintain effective communication, and provide excellent customer service. The coordinator ensures compliance with healthcare licensing requirements (CMS, Joint Commission, Texas Administrative Code) and addresses clearance issues. They manage work lists, stay updated on access policies, resolve discrepancies, and maintain patient information confidentiality and security. Key functions include streamlining registration, managing inquires, collaboration with registration staff, patient information verification, pre-admission coordination, document collection, quality and productivity, safety protocols, enhancing patient experience, data management, and problem resolution.

QUALIFICATIONS

Education

Required: High School Diploma or Equivalent Required or Associate's Degree in a related field.

Experience

Required: Four years experience in a healthcare or customer service environment to include one year in patient access. Required May substitute preferred education degree with two years of relevant experience on a one to one basis.

Must pass pre-employment skills test as required and administered by Human Resources.
