Monday-Friday | Days | Hybrid position. Mostly remote but may require to come in to the office or another clinic/facility as needed. 

Performs Records Management functions at UVA Community Health including overseeing the maintenance, retrieval and destruction of all Community Health records, performs quality audits at the direction of HIM leadership and facilitates forms management.

JOB SUMMARY

The Patient Information Specialist is responsible for managing paper records associated with the work of UVA Community Health.  Through a monitored records management program, the organization is able to reduce the cost and risk by maintaining records within the limits set by law and professional healthcare associations.  The Patient Information Specialist maintains the record retention schedule which meets the requirement for clinical billing and business records in accordance with applicable laws and regulatory requirements. The Patient Information Specialist works closely with departments throughout UVA Community Health to attain compliance and provide support for maintenance of records. 

In accordance with applicable laws and regulations or the record retention policy and schedule, oversees the maintenance, storage and destruction of records  Coordinate with UVA Health on storage and maintenance of electronic records Serve as the principal contact for internal and external inquiries about the maintenance and destruction of Health System records. The Patient Information Specialist conducts chart audits and analysis of medical records at the direction of Health Information Management (HIM) leadership. 

Communicates audit results to department leadership and/or other department leaders. Participates in developing action plans as needed, regarding audit findings.

Works with team members and vendors to collect and submit invoices to Accounts Payable 

Collects invoices for department services, if applicable.   Files Expense Reports.  Submits requests for disbursement to Accounts Payable. 

Assists HIM leadership at UVA CH in ensuring forms submitted for inclusion in the medical record are approved for use by the UVA Forms Committee.   

Assists in educating departments about the use of unapproved forms, ensuring appropriate clinical forms are used. Submits all requests for new forms to the UVA Health Information Management Forms Coordinator.

The team member may be asked to perform additional duties as assigned.

QUALIFICATIONS

Education: 2 Year/Associate Degree required. 4 Year Bachelor’s Degree preferred.

Experience: 2 years of health information management or records management experience required. 

Licensure: RHIA / RHIT preferred.

Additional Skills/Requirements Required:

Strong written and oral communication skills Mastery of the Microsoft Office suite or similar programs including word processing, presentation, spreadsheet and forms software.  Strong data base management skills. Demonstrate above average ability in organization, attention to detail, time management, communication, teamwork project management and systems thinking.
