Patron Services Coordinator
Classification Title: Patron Services Coordinator Job Description:

As a member of the UFPA staff team, cultivates a welcoming and supportive environment for visitors, patrons, employees, and volunteers.

Works together with and supports the Event Staff Coordinator, to establish front-of-house and security personnel assignments for UFPA events. Communicates schedules to event staff, volunteers, and their supervisors. May cover work tasks for the Event Staff Coordinator occasionally as assigned.  30%

Tracks hours worked by assigned front-of-house and security personnel, and assists with reporting, for event expense reports. Assists the Event Staff Coordinator with updating and maintaining event employee and volunteer records for scheduling purposes. 20%

Supervises and coordinates Phillips Center’s reception office team (OPS employees) for UFPA including, but not limited to: Opening the building/lobby each morning, mail (both incoming and outgoing), deliveries, answering telephones and screening/prioritizing calls, Lost-and-Found logging/tracking, parking permits, logging checks, tracking event attendance figures, greeting visitors, closing building/lobby. 10%

Prepares front-of-house service areas for events, directly and through supervision of OPS employees as assigned, including: preparing event related materials, signs, and forms; preparing and distributing ticket scanners and communication devices; checking personnel call-out lines; time-reporting assistance for volunteers; etc. 10%

Supports recruitment, hiring, training and supervision of front-of-house OPS employees and volunteers. Maintains and updates onboarding materials as needed. 10%

Responds to routine inquiries in keeping with the needs of patron- and public-facing requests for assistance. 5%

May be assigned occasionally and as appropriate for event-related venue supervision assignments. 5%

Other duties as assigned by Event Staff Coordinator or Director of Operations.   10%

Expected Salary:

19.00-$22.00 commensurate with experience 

Minimum Requirements:

High school diploma or equivalent and one year of relevant experience or an equivalent combination of education and experience.

Preferred Qualifications:

Supervisory experience, including for performing arts events, and/or event coordination and planning. Proficiency with computers and basic software applications such as Windows and the Microsoft Office Suite, particularly Outlook, Word, and Excel. Positive communication and interpersonal skills (verbal and written), including comfort with public speaking, presentations, and leading meetings and group training. Ability to identify and resolve problems efficiently and effectively. Ability to thrive in a fast-paced environment, and to handle an array of concurrent projects or tasks, shifting attention as needed. Customer service experience and familiarity with event services and venue management, informed by a commitment to positive, welcoming engagement and support. Ability to work collegially, supportively, and collaboratively as a member of a large and active team. Capacity to understand, interpret, and apply UF and UFPA rules, regulations, policies, and procedures.
