PurposeProvide accounts payable support for the University community and vendors by preparing or reviewing payment documents accurately and promptly. Ensure adherence to state and federal rules and regulations in regards to procurement and payment.
ResponsibilitiesManually prepare payment documents with a 3-way match of invoice, electronic receipt report, and issued purchase order from POINTPLus on assigned group of vendors.Resolve any billing, receiving report, or accounting problems that may arise to process payment timely by corresponding with vendor, other processing offices and/or ordering department.Review and final approve departmentally prepared electronic payment documents for purchase orders issued through POINT Plus System ensuring adherence to the terms and conditions of purchase order. Review and final approve departmentally prepared electronic payment documents for entertainment expenses. Review and final approve departmentally prepared electronic payment documents for other services to include contracted service. All of the above in accordance with Handbook of Business Procedures for Purchasing and Expenditures.Respond to emails sent to oa.ap@austin.utexas.edu and answer main AP phone line 471-1816 as well as retrieve voice mail messages left on 471-1816.Back up support to retrieve, open, sort and date stamp incoming mail from off-campus PO Box or campus mail. Also, research unknown mail, as needed. Scans invoices and places in folders within UTBOX for each AP processor. In addition, takes processed checks to Bursars office for deposit as needed.Assist in the review for approval independent contractor payments (VP1 and VP2) for vendor type 2 US Citizen at a minimum two business days per weekBack up support in approving the daily unapproved VPU payment documents for UTMarket Orders as needed.Other related functions as assignedRequired QualificationsBachelor's degree and five years customer service/clerical experience. One year of experience at the Administrative Assistant level, or high school graduation or GED, and five years of customer service/clerical experience, including one year of experience at the Administrative Assistant level. One year of full-time equivalent applicable experience may be substituted for each thirty semester hours of college credit earned, or vice versa; however, a minimum of one year of applicable experience is required. Demonstrated ability to produce high quality results and show attention to detail. Must be able to multi- task, organize priorities, and work with numerous deadlines.
Relevant education and experience may be substituted as appropriate.
Preferred QualificationsBachelor's degree. More than five years of customer service/clerical experience. More than one year of experience with accounts payable functions and customer service-related experience. More than one year of experience with DEFINE modules on the UT mainframe and experience with UT Austin electronic payment documents and accounts payable procedures. Experience with tax rules around independent contractor payments. Experience using Excel, Word, Outlook, Access, Share Point, and other web-based administrative operations. Ability to work effectively independently and as part of a team. Self-Motivator. Ability to work in a positive and professional demeanor. Demonstrated organizational skills, and adherence to work schedule. Excellent research skills and excellent verbal and written communication skills, as well as interpersonal skills.
Salary Range$47,000 + depending on qualifications
