Payroll Coordinator

 

Position Summary:

 

The Payroll Specialist is responsible for ensuring our European employees are paid on time and correctly, including salary, benefits, bonuses, pension contributions and equity. S/he is responsible for maintaining the relevant systems and controls for the employee compensation programs, employer compliance and tax reporting including expatriates and internationally mobile employees. Payroll itself is processed by payroll providers. This position converts the payroll information into a format that can be uploaded to RCG Bookkeeping software. Special focus lays on internal mobility, A1 and individual taxation according to travel tracker.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES:

 

Coordinate the monthly payroll run for Germany, France, Finland, Italy and The Netherlands

 

Implement and maintain controls around employee and employer tax requirements

 

Ensure all necessary overseas employee tax records are captured (hosted employees, GEO)

 

Close communication with HR Business Partners to ensure all changes are captured for payroll purposes

 

Close cooperation with KPMG in these countries to ensure accurate taxation (ER withholding taxes and EE taxes)

 

Liaise with external consultants on technical employer compliance matters

 

Manage payments to payroll companies and monitor payroll related payments (tax, pension companies) via a trustee account

 

Review and approve invoices from payroll partners

 

Pro-actively research payroll and employer compliance matters to identify potential risk areas and ensure appropriate controls in place to mitigate risk

 

 

Manage and reconcile payments relating to management RSU programmes, together with correct communication with tax authorities and affected individuals

 

Development and improvement of payroll processes and controls

 

Ensure monthly payroll journals for all countries are produced and approved on a timely basis for processing

 

Provide information to Finance Team to update Financial Forecast and Plan

 

Administer corporate credit card program

 

Other duties as required by Site Office Leadership Team or HR Business Partners

 

 

 

QUALIFICATIONS:

 

Relevant qualification and experience in payroll and employer compliance Excellent communication skills in English language Ability to learn and act in a quick changing environment
