The Payroll & HR Operations Specialist is a non-supervisory, individual contributor role responsible for working in a team environment. The primary focus of this role is to support the day-to-day Payroll function. In addition, the role supports the HR Operations function. The Payroll & HR Operations Specialist is responsible for all facets of payroll processing, employee life-cycle processing, data integrity and reporting. This position works with multiple HR applications; ADP Workforce Now, iCIMS, HireRight, Labor Soft, etc. and communicates with candidates, employees and vendors while providing excellent customer service.
ResponsibilitiesPRIMARY RESPONSIBILITIES:
Payroll:
Process bi-weekly payrolls including data uploads, audits, analysis of all benefit, tax, timekeeping and wage transactions.Reconcile payroll by using ADP reports and process requests. Prepare post-payroll (Earnings, Tax, Overtime) and ad hoc reports as requested by leadership.Reconcile quarter-end and year-end reports.Verify and reconcile W2s prior to issuance.Respond to Audit and Finance related requests.Assists with Workers Compensation reporting/auditsProcess employment verifications, garnishments, manual checks, etc.Maintain employee and payroll documentation and files.SECONDARY RESPONSIBILITIES (One or more of the following secondary duties will be required depending on incumbent skills and workflow needs of the department.)
HR Operations:
Process offer letters in iCIMSTrack background checks and drug tests for all new hires in HireRightProvide status updates on candidate Onboarding progressEscalate and communicate all Onboarding issues to Talent Acquisition Enter/edit new hire and employee life-cycle changes within ADPTrain employees and managers in the use of the time keeping system.Resolve employee system access issues and other inquiries in a timely manner.Assist with benefits Open Enrollment and other HR related projects.Set up, process and monitor Leave Management programs and impact to payroll (i.e. LaborSoft and ADP).Manage restricted area list (i.e. DEA cage), drug testing procedures, and employee records with strict confidentiality.Other clerical and administrative duties as assignedThe above duties are meant to be representative of the position and not all-inclusive.
Qualifications
MINIMUM JOB REQUIREMENTS:
Education/Training:
BS/BA in accounting/Human Resources or similar relevant field preferred.1 - 3 years of ADP payroll experience with midsize to large companies.KNOWLEDGE, SKILLS & ABILITIES:
ADP WorkforceNow system experience required.Ability to work independently and under minimal supervision.Strong analytical and problem-solving skills.Solid understanding of payroll, payroll tax and wage attachment regulations required. Experience with multi-state payrolls a plus.Clear and concise verbal and written communication skills.Excellent organizational, planning, and prioritization skills.Ability to manage multiple priorities at the same time and work in a fast-paced office environment.Strong MS Office skills (e.g., Word, Excel, Visio) and advanced knowledge of Microsoft Excel (Pivot tables, VLOOKUP and other advanced Excel functions and formulas).Ability to maintain confidential information, professional demeanor under pressure and effectively work with employees at all levels.The ideal candidate is a team player, a quick learner, self-motivated/self-starter, detailed oriented and determined.Ability to check and verify the accuracy of work.The base salary range for this non-exempt position is $50,000 to $65,000 annually.
