Manage all activities and staff engagement in the recording of hours of work, processing time records, compiling payroll data, maintaining payroll records, calculating payrolls and quarterly taxes, and ensuring the timely and accurate distribution of pay and deductions. Administer the company's benefit programs for medical, dental, vision, short-term and long-term disability, and life insurance.
Responsibilities
+ Manage all activities and staff engagement in the recording of hours of work, processing time records, compiling payroll data, maintaining payroll records, calculating payrolls and quarterly taxes, ensuring the timely and accurate distribution of pay and deductions.
+ Administer the company's benefit programs for medical, dental, vision, short-term and long-term disability, and life insurance.
+ Ensure and verify that all timesheets have been received and that payroll system entries are accurate and complete, and within established time constraints.
+ Ensure that employment status changes for employees are made accurately and timely in areas such as terminations, wage adjustments, occupational classification changes, employee demographics, etc.
+ Ensure and verify that payroll deductions are properly established and withheld in the payroll system for wage garnishments, personal payroll deductions, union dues and other miscellaneous items.
+ Ensure that direct deposit information is verified and recorded in the employee's file maintenance.
+ Ensure that direct deposit is transmitted after payroll has been posted and verified.
+ Ensure that all necessary payroll-related forms and reports are prepared and provided to the various agencies and customers as required, including all federal, state, and local tax forms, Department of Labor reports, union reports, new hire reporting, Certified Payroll, and other information as needed.
+ Ensure that all tax deposits and payroll-related deductions are remitted timely and accurately.
+ Ensure that employee vacation and holiday eligibility is tracked, allocated and applied in accordance with applicable Company policies and procedures.
+ Ensure that the Family and Medical Leave Act (FMLA), Affordable Care Act (ACA), and COBRA are administered properly and in accordance with applicable laws and regulations.
+ Oversee unemployment compensation processing, including submitting responses to claims, submitting appeals, and participating in fact-finding or appeals meetings with state agencies.
+ Ensure that the enrollment process, recordkeeping and documentation for all health-related benefits are timely and accurate, and are maintained in accordance with all applicable policies, procedures and laws.
+ Collaborate with benefit providers to ensure that employee/beneficiary enrollment status is current, and that adequate information is available when issues arise regarding benefit coverage.
+ Ensure that the Flexible Spending Accounts program is administered in accordance with applicable laws and regulations.
+ Oversee and administer employee short-term disability, long-term disability, and life insurance programs, coordinating any disability benefits with other leave programs.
+ Ensure compliance with local, state, and federal laws and regulations with respect to payroll and benefits.
+ Collaborate with operations to ensure union employee benefits are administered appropriately by the company.
+ Collaborate with the Human Resources Manager and the Chief Financial Officer to administer all benefit programs and participate in payroll and benefits-related audits.
Essential Skills
+ ADP Workforce Now experience is required – a minimum of 3 years of configuration and payroll processing experience.
+ Minimum of an associate’s degree and minimum of 5-7 years in payroll processing for a multi-state and global company.
+ Proficiency in multiple payroll, HRIS, and financial systems.
+ Advanced Excel skills.
+ Extensive knowledge of the payroll function including preparation, balancing, internal control, and payroll taxes for a multi-state organization.
+ Strong organizational and project management skills and ability to deliver quickly with accuracy.
+ Outstanding attention to detail and process to ensure accuracy, efficiency, and compliance.
+ Excellent communication and customer service skills.
Additional Skills & Qualifications
+ Experience with payroll for medium-sized companies (200-500 employees).
+ Corporate headquarters payroll experience, with biweekly payroll cycles.
+ Team player but able to be firm when needed.
+ Analytical skills, human resources knowledge, accounting, and reporting expertise.
Work Environment
This is a full-time, in-office position with working hours from Monday to Thursday, 8 AM to 5 PM, with possibly shorter days on Friday (6 hours). Benefits include 401(k) matching, dental insurance, health insurance, paid holidays, tuition reimbursement, and vision insurance.
Pay and Benefits
The pay range for this position is $36.00 - $38.46
