Payroll Process Administrator
Description Our client is seeking a Payroll Process Administrator to manage and process payroll ensuring accurate and timely compensation in compliance with federal, state, and district regulations. This position requires a strong understanding of payroll processes, specifically within the context of CalPERS and CalSTRS, and is key to maintaining the integrity of financial transactions and supporting employee satisfaction. Essential Duties and Responsibilities + Payroll Processing: Process bi-weekly/monthly payroll for all faculty, staff, and administrators, ensuring accuracy in timekeeping, deductions, and benefits. + CalPERS/CalSTRS Contributions: Calculate and verify retirement contributions and deductions for employees enrolled in CalPERS or CalSTRS, ensuring compliance with regulatory requirements. + Compliance: Stay up to date with federal, state, and local payroll laws and regulations, including those related to CalPERS, CalSTRS, wage garnishments, tax reporting, and labor laws. + Benefits Administration: Ensure accurate deductions for health insurance, life insurance, retirement contributions, and other benefits, as well as ensure all benefits information is updated in the payroll system. + Data Entry and Record Maintenance: Maintain accurate payroll records, including personnel changes, salary adjustments, promotions, deductions, and tax withholdings. + Reporting: Prepare and distribute payroll reports, including quarterly and year-end reports for tax filings (W-2s, 1099s), and respond to audit requests. + Employee Support: Provide payroll-related support to employees, answering questions regarding pay, deductions, and benefits. + System Updates and Reconciliation: Reconcile payroll data with general ledger entries, ensuring accurate accounting of payroll expenses. + Year-End Processing: Assist in the preparation of year-end tax forms, including W-2s, and ensure proper filing with relevant authorities. + Other Duties as Assigned: Perform additional payroll-related duties or projects as requested by the Payroll Manager. Requirements Qualifications + Experience with CalPERS or CalSTRS payroll processing + High school diploma or equivalent required; associate’s degree in accounting, Business Administration, or related field preferred. + Minimum of 3+years of payroll processing experience, preferably in a public agency or educational institution. Knowledge and Skills + In-depth knowledge of payroll processing, including deductions, taxes, and benefits administration. + Strong understanding of CalPERS/CalSTRS retirement systems and regulations. + Proficiency in payroll software and systems (e.g., ADP, UltiPro, or other payroll platforms). + Knowledge of federal and state tax laws and regulations related to payroll. + Strong attention to detail and ability to manage multiple tasks with competing deadlines. + Excellent communication and interpersonal skills to interact with staff and resolve payroll-related inquiries. + Ability to maintain confidentiality and handle sensitive employee information with discretion.
