About the Role: The Payroll Specialist is responsible for the timely and accurate processing of the Mindful bi-monthly payroll and ensuring compliance with all applicable tax laws and regulations. In this role, you will work collaboratively with the Human Resources team to ensure accurate employee and time and attendance records. As part of the Finance team, the Payroll Specialist will work with that team to ensure timely and accurate reporting in the general ledger and other applicable systems. Responsibilities: + Process Payroll: Accurately process semi-monthly payroll for hourly and salaried employees across multiple states, ensuring compliance with federal, state, and local regulations. + Reimbursements: Handle the timely and accurate payment of employee reimbursements.  + Coordination with Human Resources: Collaborate and coordinate with Human Resources to maintain and update employee payroll records including new hires, terminations, employee changes, tax changes, garnishments, benefit deductions and time and attendance records. + Payroll Implementation: Assist in the implementation of new payroll system and processes, ensuring a smooth transition and minimal disruption to payroll operations. + ADP Workforce Now: Utilize ADP Workforce Now for payroll processing, reporting, and employee data management. + Compliance: Stay updated on payroll laws and regulations, and ensure all payroll activities comply with legal standards. + Reporting: Generate and analyze payroll reports, providing insights and recommendations to management. Coordinate with Accounting to ensure payroll transactions are accurately recorded and reconciled in the general ledger. + Employee Support: Address payroll-related inquiries from employees, providing timely and accurate information. + Reconciliation: Perform payroll reconciliations and resolve discrepancies in a timely manner. Reconciles employee payroll deductions with benefit insurance premiums including medical and life insurance plans. + Documentation: Maintain accurate payroll records and documentation for auditing and reporting purposes. Requirements Skills & Qualifications: + Education: Bachelor’s degree in Accounting, Finance, or a related field preferred but not required. Two-year degree in Accounting or related experience required. + Experience: Minimum of 3-5 years of payroll processing experience, with a focus on multi-state payroll. + ADP Workforce Now: Past experience in using ADP Workforce Now for payroll processing and reporting preferred but not required. + Technology: Advanced skills using Excel and other Microsoft Office products. + Implementation Experience: Experience working on payroll implementation projects, including system setup, testing, and training. Core Competencies: + Knowledge: Strong understanding of payroll laws and regulations, including FLSA, tax withholding, and wage garnishments. + Confidentiality: Ability to maintain strict confidentiality regarding sensitive information. + Attention to Detail: Exceptional attention to detail and accuracy in payroll processing. + Communication Skills: Excellent verbal and written communication skills. + Problem-Solving: Strong analytical and problem-solving abilities.
