Payroll Specialist
Job Title: Payroll Specialist

Job Description

The Payroll Specialist is responsible for processing payroll accurately and on time while ensuring compliance with applicable laws and regulations. This role involves maintaining payroll records, handling employee inquiries, and assisting with audits and reporting.

ResponsibilitiesProcess bi-weekly, semi-monthly, or monthly payroll for employees, including salaried, hourly, and contract staff.Verify timekeeping records and resolve discrepancies.Calculate wages, overtime, bonuses, commissions, and deductions.Ensure payroll complies with local, state/provincial, and federal laws.Maintain accurate payroll and tax records.Prepare and file payroll tax reports (e.g., W-2s, T4s, or equivalent).Address employee questions related to payroll, deductions, and tax forms.Process adjustments for errors, terminations, or special situations.Manage deductions for benefits such as health insurance, retirement plans, and garnishments.Reconcile payroll accounts with benefits providers.Prepare regular payroll reports for management and finance teams.Assist with internal and external audits.Ensure payroll systems are updated with current employee and tax information.Test system upgrades and changes in payroll processes.Essential SkillsBachelor’s degree in Accounting, Finance, Business Administration, or a related field (preferred).Minimum of 2–3 years in payroll processing or related roles.Strong understanding of payroll laws and regulations.Experience with payroll software (e.g., ADP, Workday, or similar systems).Experience working in a small to mid-sized organization experiencing growth and undefined processes and procedures.Experience working within a mid-large size ERP.Intermediate to advanced Excel skills (pivot table, v-lookup).Strong communication and coordination skills.Strong initiative and drive to take on and learn new tasks.Additional Skills & QualificationsExperience in one of the following industries (services, engineering, project-based).Billing experience.Marine industry experience.Certified Payroll Professional (CPP) or equivalent certification.Problem-solving and analytical skills.Effective communication, both written and verbal.Ability to handle sensitive information with confidentiality.Adaptability to new tools and regulations.Pay and Benefits

The pay range for this position is $29.81 - $33.65
