Posting Number NONAC3511 Job Title Payroll Tax Analyst Position Title Payroll Tax Analyst Position Type Non-Faculty Number of vacancies 1 Salary Department Office of Finance and Operations Position Summary A Payroll Tax Analyst is responsible for managing and ensuring compliance with payroll tax regulations. This role focuses on the tax-related aspects of payroll, ensuring that the organization meets all federal, state, and local tax requirements. The Payroll Tax Analyst ensures that payroll taxes are calculated, withheld, filed, and paid correctly and on time while keeping the organization compliant with all relevant tax laws and regulations. This role plays a crucial part in minimizing tax risks and avoiding penalties. The Payroll Tax Analyst is assigned to assist the manager with payroll-related projects.
Skills:
Multi-State Payroll Tax Experience. Strong knowledge of processing bi-weekly payrolls. Attention to detail, for accuracy, reconciling and submitting multi-state payroll tax. Ability to communicate effectively with employees, business partners, or external agencies. Proficiency in Microsoft Office Suite, especially Excel. Ability to maintain confidentiality and handle sensitive information.
Key Responsibilities:
Calculate and ensure proper withholding of federal, state, and local taxes from employees’ wages. Verify tax rates and ensure the correct tax amounts are deducted based on employee tax forms (e.g., W-4, state withholding forms). Prepare and file federal, state, and local payroll tax returns, including forms such as 941, and 940, state unemployment tax reports, and local tax filings. Submit tax payments on time to various tax authorities to avoid penalties. Reconcile payroll tax accounts to ensure the accuracy of tax deductions and payments. Perform audits and resolve discrepancies between payroll tax filings and accounting records. Stay updated on changes in tax laws, regulations, and procedures at the federal, state, and local levels to ensure compliance. Implement necessary changes in payroll systems or processes to comply with new tax laws or regulations. Prepare and issue year-end payroll tax reports, including W-2 forms for employees and other required year-end filings. Ensure that all year-end tax documentation is completed correctly and distributed to employees or contractors on time. Assist with internal or external audits related to payroll taxes by providing documentation and responding to inquiries from tax authorities. Work to resolve any disputes or issues with tax agencies regarding payroll tax filings or payments Keep accurate and up-to-date records of all payroll tax filings, payments, and communications with tax authorities. Manage state and local tax compliance, which can vary by jurisdiction, ensuring that taxes are withheld and filed correctly for different locations where employees work. Stay informed about multi-state taxation and ensure compliance with complex. Assist in processing tax adjustments for payroll errors, retroactive pay changes, or other adjustments that affect the tax calculations. Ensure proper corrections are made for previous tax filings, if necessary. Address questions and resolve issues related to employee payroll taxes, including withholding discrepancies, incorrect filings, or misapplied tax rates. Work closely with the payroll team to ensure that tax data is accurate and consistent with the payroll process. Collaborate with HR, Finance, and other Workstreams to ensure accurate tax reporting and compliance. Minimum Qualifications An associate’s or bachelor’s degree in Business, Accounting, or a related field is a plus. 5 years of experience in Multi-State Payroll Tax Experience using payroll ERP Software (Workday, PeopleSoft, ADP, Ceridian, or similar)
Preferred Qualifications Certification in payroll or garnishment (CPP, FPC). Experience working with multi-state payrolls Workday Higher Ed/Healthcare Payroll Processing
