Job Summary

The People and Culture Assistant reports to the Director of People and Culture and works closely with the Talent Engagement Specialist. This position will assist with the day-to-day operations of the employee-centered functions of the People and Culture team, provide clerical and administrative support, and maintain employee records (digitized and hard copies).  The People and Culture Assistant will liaise between the People and Culture team and employees. 

 

Duties & Responsibilities

 (Responsibilities to include but not limited to the following)

Assist with onboarding by checking references. Ensure that all the necessary onboarding paperwork (i.e., application, W4, I9, etc.) is completed accurately, filed correctly, and kept confidential. Coordinate and prepare for all audits by funders, regulatory bodies, and/or accreditation entities, including creating necessary checklists, procedures, and tools. Schedule and conduct internal “dry audits” of personnel files to ensure compliance with all requirements.   Adheres to the audit schedule and prepares for audit following schedule. Monitors the Kchecks system and runs required reports monthly. Maintain and monitor all personnel records stored in digitized files. Complete employment verifications for current and former employees as requested. Send termination letters as requested. Manage and submit invoices weekly. Update information for Praesidium Academy training completion and training certificates from other external employee training in the Relias system. Maintain compliance with federal and state regulations related to employment law. Maintain healthy relationships with the employees and youth of CHNY. Display honest, trustworthy, and ethical behavior when dealing with internal and external customers. Display enthusiasm and promote a friendly group working environment. Regular attendance that is punctual and dependable is required. Perform other duties as assigned and requested.
