Job Description
The Install Coordinator is responsible for preparing, balancing, and processing all customer paperwork, including permit filing and contractor licensing with all municipalities within our service territory. The role requires providing excellent customer service and handling any post-installation concerns.
ResponsibilitiesEnsure all jobs have permits and follow company procedures to secure permits in a timely mannerResearch each municipality to determine licensing and permit requirementsContact municipalities as needed to secure contractor’s registration and permitsProcess check requests and submit payments via mail and onlineCreate a job folder for every install, ensuring all paperwork and permits are includedAssist in completing accurate and timely paperworkProfessionally represent the company through phone, email, and direct contactCommunicate effectively with others and collaborate with internal customers such as billing, dispatch, technicians, and management to resolve issuesMaintain accurate filing both in hard and soft copy formatsDemonstrate flexibility and reliability in relation to changes impacting workload, cross-training, and backup support across the logistics department and companySource requisitions and dispatch purchase orders according to company policies and guidelinesMeet all goals and due dates for sourcing requisitions, creating purchase orders, and creating contracts and contract documentsSupport and manage open purchase orders for accuracy and timelinessAssist with inventory-related processes as neededBuild effective and valued partnerships with both external suppliers and internal customers at all levelsMaintain day-to-day workload promptly and efficiently, incorporating tasks and projects as neededFollow up on open items and any issues to ensure accuracy and closureEssential Skills2-3 years of coordination experience (logistics, customer service, administrative)Proficiency in MS Office: Excel and WordHigh School DiplomaExperience with project coordination and management supportStrong communication and presentation skillsAbility to work in a fast-paced, quickly changing environmentEffective time management skillsAbility to multitask and manage multiple prioritiesProactive thinking and relationship-building skillsStrong phone skillsWell-organized with strong attention to detailPassionate about delivering consistent excellenceDemonstrated good interpersonal and communication skillsAbility to conduct internet researchAdditional Skills & QualificationsExperience with MS OutlookStrong written and verbal communication skillsDisplay a positive attitude and behavior in all aspects of working collaboratively with all areas of the business, including all levels of leadership and outside vendorsProvide accurate and thorough work and outputDemonstrate a sense of urgency for solving problems and getting work done efficientlyWork Environment
The position operates from 8 AM to 5 PM in a brand new office in Naperville, which features a gym, basketball court, coffee shop, and convenience store. The modern environment has a pit-style layout with great energy on the floor. The office includes a nice kitchen area with a super cool soda machine.
Pay and BenefitsThe pay range for this position is $24.00 - $25.00/hr.
