Personal Assistant to the Director of finance/ General affairs

**DUTIES AND RESPONSIBILITIES**
Manage the Director of Finance’s calendar, including scheduling appointments and meetings with internal / external stakeholders.
Act as a liaison between the Director of Finance and internal / external stakeholders, ensuring effective communication in local language and English.
Assist the Director of Finance with special projects and initiatives, ensuring tasks are prioritized and completed within deadlines.
Provide accurate translations for written documents and during verbal communications between English and local language to facilitate clear communications between all parties involved.
Prepare documents, presentations, and reports for special projects.
Screen and manage correspondences, emails, and calls on behalf of the Director of Finance, ensuring timely and appropriate responses. Exercise discretion in committing time and evaluating needs.
Draft, proofread, and edit documents, emails, and communications on behalf of Director of Finance.
Prepare meeting agendas, distribute materials, and take minutes during important meetings.
Follow up on action items from meetings to ensure timely completion.
Organize and maintain paper and electronic filing systems
Assist in maintaining compliance with hotel policies and procedures, and legal regulations.
Assist in maintaining compliance with hotel policies and legal regulations.
Uphold the highest standards of confidentiality in all matters concerning the Finance’s office.
**Business Support**
Provide business support to ensure the smooth operation of each department.
Support Manager of General Affairs to manage contract parking, and fitness members.
Handle company approval requests and circulation to the owners.
Manage GM Seal, Company Seal requests.
Support Business Support Manager to manage internal and external audit processes.
Manage entrance passes for external tenants, outsourcing companies, and business partners.
Maintain records of all contracts, including preparation of Contract Listings, and the electronic filing system of all contracts.
Manage attendance shift creation of General Affairs.
Manage and process tenancy invoices for month end closing.
Other additional and / or alternative duties as assigned from time to time, including supporting other departments or Executives as needed.
**QUALIFICATIONS AND REQUIREMENTS**
Bachelor’s degree in business administration, Hospitality, or a related field (preferred but not required). Minimum of 2-3 years of experience as an administrative assistant or secretary, preferably in a hotel or hospitality environment.
**Skills:**
Strong organizational and multitasking skills with keen attention to detail.
Excellent written and verbal communication skills in both local language and English.
Proficiency in office software (Microsoft Office, Excel, PowerPoint, etc.).
Ability to handle confidential information with professionalism.
Strong time management skills and ability to work under pressure.

Ability to work independently as well as collaboratively in a team environment.
Strong problem-solving skills and adaptability to changing priorities.
