Coordinates the departmental activities of purchasing pharmaceuticals and departmental supplies. Responsible for procuring all pharmaceuticals used within the hospital, as necessary. Involved with the daily operations in the inventory area and monthly accounting procedures. Responsible for a high degree of accuracy, judgement, and planning. Will assist in overseeing the purchasing clinical valuations and supply chain management. Must be a Registered Pharmacy Technician or Intern in MA and in good standing with the Mass Board of Pharmacy, Technicians must maintain national certification. Should possess good computer and interpersonal skills.
**Job Description:**
**Primary Responsibilities:**
1. Demonstrates competency in placing daily orders for pharmaceuticals and pharmaceutical supplies for the hospital. Places order using electronic order entry and works with pharmacy leadership to ensure that appropriate stock levels are set.
2. Places orders with wholesalers, manufacturers directly or other vendors (e.g.503B suppliers) as necessary to meet the needs of the organization.
3. Procures all controlled substances for the Department of Pharmacy while adhering to all the regulations of the Drug Enforcement Agency (DEA). Purchases and maintains an inventory of all supplies used within the Department of Pharmacy. Assists with coordinating the pharmacy physical inventories. Participates in inventories as necessary.
4. Maintains all record keeping for items loaned to and borrowed from other institutions and follows up on returns. Reconciles accounts among all institutions on a regular basis, as established by manager.
5. Ensures that documents relating to purchasing, receiving, and inventory activity are accurate, and that data entered into the computer system is timely, complete, and accurate.
6. Works with vendors for returns and exchanges due to discrepancies. Maintains records of pharmaceuticals that need to be returned to the wholesaler or to the manufacturer. Involved in the daily monitoring of drug shortages and recalls. Solves multiple problems originating with the purchasing, receiving and inventory control functions. Resolves outstanding accounts payable invoices.
7. Provides pertinent data for new items and price changes to the Pharmacy Informatics Team for updating the various pharmacy databases.
8. Keeps current on technology, regulatory and operational trends in the health care industry, which may affect product/service selection and utilization.
9. Assists the Informatics Pharmacists to identify and sequester medications with unknown or new barcodes (NDC’s) for products not taught to all systems to avoid bypass of scanning.
10. Coordinates and assists with orders received into inventory.
11. Coordinates drug purchases and deliveries for off-site clinics.
12. Tracks shortages of medications and supplies, collects data to present to Pharmacy Leadership, and assists to find and procure alternatives to mitigate impact of shortages.
13. Tracks drug or pharmacy supply recalls and follows established procedures to track, remove, sequester and return recalled items.
14. Coordinates returns of expired/outdated medications and supplies to the appropriate vendor.
15. Processes and maintains records all of invoices.
16. Participates in the Medication Management Committee, presents shortages of medication and/or supplies, and manages discussion topics.
17. Assists in staff training and teaching of procedures related to inventory management.
18. Pre-packages bulk medications and bulk liquids into unit-dose packaging for dispensing.
19. Ensures the proper handling of hazardous medications and products including receiving, labeling, packaging, transport and delivery by following established policies and procedures.
20. Performs quality assurance checks of product inventory for accuracy of counts, and correct storage locations. Notifies the appropriate personnel of any discrepancies.
21. Assists to review, evaluate or establish new policies and procedures related to inventory management.
22. Maintains effective communications with department directors, managers, pharmacists and department personnel.
23. Identifies process improvements and communicates these in staff meetings or to supervisors as needed.
24. Ensures general cleanliness and appearance of the pharmacy areas.
25. Ensures quality standards for the department.
26. Abides by all hospital and departmental policies.
27. Performs any other duties and responsibilities as needed by the pharmacy department.
**Job Requirements:**
1. High School diploma or GED required. Bachelor's degree preferred
2. Registered Pharmacy Technician in Massachusetts required
3. Certified Pharmacy Technician required
4. 1-3 years related work experience required
5. Previous pharmacy purchasing experience preferred
6. Excellent interpersonal skills necessary to deal effectively with allied health professionals and vendors. Excellent analytical and process improvement skills
7. Initiative, independence, reliability, creativity, and sound problem-solving skills. Prioritize and use sound judgment in making decisions.
8. Demonstrate, design, develop, and implement effective clinical data assessment tools and systems that serve as a base for management decisions.
9. High level of analytic skills and problem-solving skills to interpret data and make recommendations for action.
10. Strong interpersonal skills to effectively communicate and negotiate with a variety of hospital personnel at all levels, with a large volume of telephone and personal interactions.
11. Meditech experience preferred but not required. High degree of proficiency in Microsoft Office Suite (Word, PowerPoint, Access, Outlook and/or Excel). Must be proficient in Excel. Experience with VHA Marketplace site a plus.
