Planned Maintenance Coordinator

LOCATION: Southwest Divisional Headquarters - Phoenix, AZ

STATUS: Exempt

POSITION SUMMARY: The Planned Maintenance Coordinator will support the Business Department with implementation and general support of the planned maintenance program used by the Division. Will work with officers in the Division and their maintenance workers. Will ensure the Property Maintenance Software is kept up-to-date and used on a regular basis. Will also make recommendations to the Divisional Secretary for Business when changes, updates or more training is needed for field personnel.

QUALIFICATIONS:

Bachelor’s Degree Required in relevant field OR minimum of 3 years’ experience working in a maintenance related position for pay. 5 years’ experience in maintenance and/or construction fields preferred. Valid AZ/DL with clear MVR Check Proficient in Microsoft Suite (Outlook, Word, Excel, PowerPoint, Maintenance Software Programs etc.) Ability to multi-task efficiently in a fast-paced environment Detail-oriented and organized. Excellent organization, oral and written communication skills to work effectively with business partners and working groups to meet mutual goals.

RESPONSIBILITIES:

Establish and maintain property maintenance software for all facilities in the Division as assigned. Note that not all buildings in the Division will be included, at least initially. Coordinate with THQ Property Department as needed for implementation of new units coming online. The person must be available to travel throughout the Division (S/Nev, All AZ and NM) as needed to acquire the necessary data for uploading equipment into the property maintenance software. Train and assist end users in the use of property maintenance software. Notify appropriate people when maintenance requests in property maintenance software are not followed up or in an appropriate amount of time. Assist the Business Department with processing planned maintenance items, including maintenance contracts, quotes for repairs, etc. Where there is maintenance agreements needed to be established by the Division, assist in the process of seeking approval for these agreements through the Contracts and Grants Program. Once approved, ensure said agreements are adhered to. Ensure repairs and replacement of items are recorded in property maintenance software with necessary back up and future maintenance scheduling. Manage property maintenance software for all Southwest Division properties, develop a plan of adding all property not in the system including officers’ quarters. Provide reports as needed or helpful to enable Divisional leadership to make good decisions. Properties in Metro Phoenix, work with scheduling SW Maintenance to assist with minor repairs. Perform other duties as required or assigned which are reasonably within the scope of the duties for this position.
