Position Description
The Plant Administrative Assistant is responsible to provide efficient administrative and general support. The successful candidate provides financial, administrative and clerical support by ensuring invoice processing is completed by verifying and reconciling invoices to purchase orders according to established policies and procedures in an efficient, timely and accurate manner.
Essential Functions:
Greet and assist visitors as they enter the facility appropriately and professionally as the first impression of the facility. Prepare & send interoffice mail. Purchase Order Subject Matter Expert – Full knowledge of how to write and receive purchase orders. Understanding of accounting structure to properly assign account coding. Vendor Management – Process vendor set-up requests. Assist vendors with invoice inquiry. Maintain purchase orders – Regularly review purchase orders to set up Delivery Complete and Final Invoice flags. Also ensures timely receipt. Work with the production team to gain an understanding of downtime logs, production lines and equipment, ProdReps and BPCS. Create spreadsheets and reports using MS Office software May post and reconcile shop orders daily. This individual will work both alone and as part of a team reporting to the Sr Director of Operations with a dotted line to the Plant Controller. Education & Experience:
High school diploma/GED required with a solid background in administration assistance. Previous experience with accounts payable is preferred. SAP experience preferred. Bilingual in Spanish is highly preferred and desirable.Position-specific skills:
Proficiency in Microsoft Word, Excel, Outlook, and PowerPoint Strong organization and communication skills, ability to multi-task while paying attention to detail and working in a high volume, fast-paced environment. Ability to speak effectively and interact with all levels of management. Ability to manage multiple assignments and coordinate activities to meet specific deadlines.A Career with Refresco
