What Will You Be Doing In This Role?

The Senior Administrative Assistant in Plastic Surgery performs a broad range of clerical, administrative and general office activities in order to support the facilitation of administrative workflow within the department and/or unit. Supports an individual or multiple staff members by arranging their schedules, appointments and itineraries. This position will support 6 physicians and assist their APPs as needed.

Job Duties and Responsibilities: 

•Schedules appointments and meetings. Makes arrangements for meetings, conferences, or travel for an individual, group or department.  Manage and coordinate complex physician schedules, including meetings  and professional engagements. This also includes managing depositions and legal meeting scheduling.•Researches and responds to inquiries and calls, may escalate to other levels of the organization as appropriate.•Formats, types, and edits correspondence, documents, memos, reports, meeting minutes and/or presentation materials.•Compiles financial and operational data from multiple sources to assist management in preparing and monitoring budget and workforce planning and/or other department reports. May prepare summary of information or data. •Distributes and disseminates information within the department and/or unit.•Orders supplies, monitors and orders office supplies to ensure the office is well-stocked and operational, and arranges for equipment maintenance.•Submits, monitors and tracks invoices, reimbursements, and supply management. Assists 6 physicians with preparation and submission of expense reports. Process and track physician expense reports, ensuring compliance with organizational policies, which includes getting the correct approval for travel. (It might involve planning travel for some of the faculty).•Establishes and maintains an internal filing system.•Handle the processing of patient leave forms and EDD with accuracy and efficiency.•Coordinate and manage the onboarding process for new residents, including paperwork, training schedules, and system access.
