Job Description

Position Summary

We are looking for a highly organized and proactive Project Management Team Assistant to support the day-to-day operations of the project management team for a major Oil & Gas pipeline construction project in Abu Dhabi. The successful candidate will assist in administrative tasks, coordination efforts, and communication, ensuring the smooth functioning of the team and timely completion of project activities.

Key Responsibilities

Provide administrative support to the project management team, including scheduling meetings, preparing agendas, and taking minutes.Coordinate communication between the project management team, contractors, and stakeholders.Assist in tracking project deliverables, milestones, and timelines to ensure on-time execution.Maintain and organize project documents, reports, and correspondence for easy access and compliance.Monitor and manage team calendars to ensure alignment of schedules and priorities.Handle logistics for team activities, including travel arrangements, accommodations, and on-site support.Prepare and format reports, presentations, and documentation as required by the project team.Support procurement and expense tracking processes, ensuring proper documentation and approvals.Act as the point of contact for internal and external stakeholders on administrative matters.Assist with any additional tasks required to support the efficiency and success of the project team.

QualificationsEducation: Diploma or Bachelor’s degree in Business Administration, Project Management, or a related field.Experience:2-4 years of experience in an administrative or coordination role, preferably within the Oil & Gas or construction industry.Experience in supporting project management teams is an advantage.Skills:Strong organizational and multitasking abilities.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).Excellent written and verbal communication skills.Attention to detail and ability to manage sensitive information with confidentiality.Ability to work in a dynamic and fast-paced environment.
