POSITION SUMMARY:
We are seeking a motivated and detail-oriented PMO Analyst to join the Program Management team. The PMO Analyst will play a critical role in supporting project management activities by analyzing data in order to improve processes, maintaining project management tools, and ensuring the effective implementation of business processes. This role will collaborate closely with program managers, stakeholders, and cross-functional teams to enhance project delivery and process efficiency. This function is essential in providing oversight of administrative and operational functions to achieve the objectives and goals required to complete projects on time and budget.
PRIMARY RESPONSIBILITIES:
Assist in the development, documentation, and continuous improvement of program management and product development processes and best practices.
Collect, analyze, and report project data to support decision-making and performance tracking using tools like JIRA, Confluence, Smartsheet's etc
Maintain and administer project management tools and software, ensuring data integrity and proper usage across the team.
Support project tracking and reporting by creating dashboards, status reports, and performance metrics.
Assist in the preparation of project plans, timelines, and deliverables, coordinating with project teams for updates.
Identify and analyze trends in project performance, providing recommendations for process improvements.
Collaborate with project managers to ensure projects are aligned with business objectives and timelines.
Conduct quality checks and compliance audits for adherence to established processes and project standards.
Provide training and guidance to team members on the use of PMO tools and methodologies.
Participate in process improvement initiatives and contribute to the development of new analytical methods and tools.
Perform other duties as assigned.
QUALIFICATIONS:
Bachelor’s degree in Business Administration, Project Management, Information Systems, or a related field.
Minimum of 2 years of experience in a project management support role or similar analytical position.
Project Management Professional (PMP) certification or other relevant certifications preferred.
KNOWLEDGE, SKILLS, AND ABILITIES:
Proficiency with project management tools (e.g. Smartsheet, MS Project, JIRA, Trello, or equivalent).
Familiar with tools, applications, and able to pick up new tools quickly.
Strong analytical and problem-solving skills, with experience in data analysis and reporting.
Excellent written and verbal communication skills, working in cross-functional teams and with leadership.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and data visualization tools (e.g., Power BI, Tableau).
Knowledge of project management methodologies (e.g., Agile, Waterfall) and process improvement practices.
Strong attention to detail and the ability to work independently or collaboratively in a team environment.
Effective organization and time management skills, operating in a fast-paced environment.
Experience with process mapping and documentation tools (e.g., Visio, Lucidchart).
Familiarity with change management processes and principles.
PHYSICAL DEMANDS & WORK ENVIRONMENT:
Duties are typically performed in a hybrid office setting, with at least 1 day a week in the office (San Carlos, CA).
This position requires the ability to use a computer keyboard, communicate over the telephone and computer, and read printed material.
Duties may require working outside normal working hours (evenings and weekends) at times to meet deadlines.
The pay range is listed and actual compensation packages are based on a wide array of factors unique to each candidate, including but not limited to skill set, years & depth of experience, certifications and specific office location.
